We are looking for a dedicated and detail-oriented individual to take on the role of Project Management Assistant.

In this position, you will play a key role in the successful execution of projects by collaborating closely with Project Managers. Your skills in project oversight, documentation management, and effective communication will be vital as you juggle multiple projects, keep essential records, and ensure all project documentation is precise and up-to-date.

Key Responsibilities:

  • Project Oversight: Collaborate with the Project Manager and Superintendent to guarantee project success. Maintain current documentation, manage Requests for Information (RFIs), and keep project logs updated (including RFIs, submittals, and change orders).
  • Documentation Control: Conduct weekly meetings with the Project Manager and Foreman to assess project progress and tackle any challenges. Ensure RFIs and submittals are submitted accurately and on time.
  • Submittal Preparation: Create and submit comprehensive submittals in accordance with contract specifications for General Contractor approval. Review and finalize submittals with suppliers post-approval.
  • Effective Communication: Manage multiple projects efficiently and communicate with various Project Managers. Handle all project-related communications and documentation with ease.

Essential Competencies:

  • Problem Solving: Tackle and resolve project-related challenges effectively.
  • Communication Skills: Ensure clear and effective communication with all stakeholders.
  • Leadership Abilities: Mentor and guide team members while overseeing project tasks.
  • Strategic Planning: Organize and execute project tasks with a focus on long-term objectives.

Supervisory Duties:

  • Oversee team members in alignment with APIC Solutions' policies and legal standards.
  • Manage training, work planning, performance evaluations, and issue resolution.
  • Verify equipment counts, specifications, and manage equipment release schedules.
  • Coordinate with other departments for seamless project transitions and performance.

Work Responsibilities:

  • Estimating: Review blueprints and bid documents to generate accurate time, cost, materials, and labor estimates.
  • Supplier Coordination: Maintain a list of suppliers and subcontractors; conduct site assessments and document necessary details.
  • Project Handover: Efficiently transfer bid documents and subcontractor details to the Project Manager. Review drawings and project costs, highlighting concerns and key vendors.

Subcontractor Engagement:

  • Thoroughly review proposals to ensure proper scope and commitment to project timelines.
  • Provide necessary project information to subcontractors and identify new ones as required.

Client Relations:

  • Maintain regular communication with clients to ensure satisfaction and identify opportunities for improvement.
  • Respond promptly to follow-up requests and cultivate strong client relationships.

Collaboration:

  • Adhere to company policies, procedures, and ethical standards. Communicate and implement these standards within the team.
  • Promote a collaborative atmosphere, build trust, and maintain professional relationships both internally and externally.

Qualifications:

  • Educational Background: Bachelor's degree in Construction Management, Engineering, Business Administration, or a related field (or equivalent experience).
  • Experience: 2-4 years of experience in project management, electrical, or a related field, with experience managing or assisting with multiple projects simultaneously.
  • Technical Skills: Proficiency in project management software (e.g., Microsoft Project, Procore, or similar) and strong knowledge of Microsoft Office Suite (Excel, Word, PowerPoint). Familiarity with construction drawings, specifications, and contracts, along with a basic understanding of construction methods, materials, and processes.
  • Ability to lift up to 25lbs.
