Position Overview:

In this role, reporting directly to the Chief Financial Officer, the Financial Operations Manager will oversee daily accounting and payroll operations. Key responsibilities include maintaining precise financial records, supervising the accounting and payroll team, training personnel, enhancing operational efficiencies, and ensuring high standards of accuracy and timeliness. The manager will identify opportunities for improvement and contribute to the development of policies and procedures to ensure compliance with accounting standards and organizational policies. This position is integral to the management team and collaborates closely with other departments.

Key Responsibilities:

Accounting:
- Conduct timely reconciliations of all financial accounts, including banking, payroll, and credit card statements.
- Coordinate the closing cycles of financial systems efficiently.
- Ensure accuracy and timeliness of general ledger entries and resolve discrepancies promptly.

Invoicing:
- Manage all aspects of government grants, contracts, and invoicing processes.
- Utilize fund accounting methods to accurately record expenses and payroll.
- Supervise the accounting team in preparing and delivering invoices for payment.

Payroll:
- Oversee payroll processing to ensure accuracy and timeliness, including documentation of hours and tax obligations.

Budgeting and Financial Analysis:
- Ensure transactions are accurately coded to budgets.
- Collaborate with the CFO to develop organizational and program budgets.
- Provide financial reporting and analysis as required.

Banking and Audits:
- Maintain relationships with financial institutions and prepare for audits and financial reporting.

Donations Management:
- Work with the donor management team to ensure compliance with reporting requirements for various funding sources.

Miscellaneous:
- Manage the implementation and training of new accounting systems and processes.

Qualifications:

  • Bachelor's degree in Finance or Accounting with a minimum of 3 years of accounting experience, including 1 year in a supervisory role.
  • Proficiency in Microsoft Office Suite, Google Workspace, and Acrobat.
  • Experience with government contracts and fund accounting regulations.
  • Strong understanding of US GAAP and internal controls.
  • Ability to manage multiple projects with moderate supervision.
  • Experience in budgeting and forecasting.
  • Payroll processing experience.
  • Valid California Driver's License.
  • Must be eligible to work in the US without sponsorship.
  • Must be up to date on COVID vaccinations.
  • Willingness to work flexible hours, including evenings and weekends.

Preferred Qualifications:
  • CPA or MBA.
  • Familiarity with Aplos, Gusto, Click Time, and Intacct.
  • Bilingual in English and Spanish.
