The Administrative Support Professional for Legal Staff will provide confidential assistance to legal staff in the Labor and Employment practice area. This role requires a high level of discretion and organization to manage and coordinate priorities of multiple attorney and paralegal assignments.

Key Responsibilities:

  1. Manage and coordinate priorities of multiple attorney/paralegal assignments.
  2. Prepares documents and correspondence requiring knowledge of legal terminology and document formats.
  3. Maintain electronic calendar for assignments. Make appointments for attorneys, arrange meetings and conference rooms.
  4. Sort, distribute, and prioritize all incoming mail.
  5. Maintain all client files. Work with the Records Department to close files and send off-site.
  6. Schedule business travel arrangements when necessary.
  7. Professional phone etiquette to handle incoming calls from clients and other members of the Firm.
  8. Open new files by creating New Client/New Case forms.
  9. Enter attorney and paralegal time into 3E.
  10. Process expense reports through Chrome River.
  11. Maintain contact information for assignments.
  12. Perform overflow typing, filing, and photocopying as time permits and as requested by other attorneys or the Human Resources Department.

Key Requirements:

  1. HS Diploma or GED equivalent.
  2. 3-5 years experience in a mid to large size law firm.
  3. Proficient knowledge of firm software and hardware, including Outlook, Word, 3E, Excel, Chrome River, telephones, and photocopiers.
  4. Knowledge of legal terminology and procedures.
  5. Excellent proofreading, grammar, and spelling skills.
  6. Ability to transcribe legal documents and correspondence at a level of 80 wpm.
  7. Ability to organize and prioritize numerous tasks and complete them under time constraints.
