The Facilities Manager will be responsible for comprehensive planning, time management, and accountability for all repairs and projects within the assigned regions.

PRIMARY RESPONSIBILITIES

Supervise all maintenance, repairs, and restoration activities across all retail locations as dictated by a prioritized system and/or managerial directives. Address repair requests through various communication channels.

Initiate, manage, and execute significant facility maintenance projects in a cost-effective and timely manner.

Conduct cost assessments for each project, outline the scope of work and repairs, and ensure effective communication with both internal and external stakeholders. Facilitate the planning and coordination of repairs and capital projects.

Evaluate service requests to determine repair responsibilities by reviewing lease agreements, exhibits, and warranty timelines to delegate tasks appropriately.

Assess each repair request, identify requirements, establish project scope, and engage contractors or tradespeople as necessary.

Initiate service requests and generate work orders for vendors, detailing the scope of work, expected completion dates, and pricing agreements.

Conduct thorough evaluations of contractor quotes and process them using a structured bid form, which includes sales information, lease terms, strategic considerations, and a general overview of the work required.

Oversee project closeout processes and verify invoices for accuracy, ensuring proper sign-off and approval.

Review any special coding or notes related to completed work within the management system and follow up using dashboard and reporting tools.

Maintain a comprehensive understanding of facility ownership, lease durations, tenant and owner responsibilities, as well as local codes and regulations.

Collaborate with various departments, regulatory bodies, contractors, and field operations to ensure that expenditures are managed effectively.

Negotiate pricing, obtain quotes, secure necessary contractor documentation, and prepare invoices for payment.

Monitor contractor performance and follow up on project completion.

Process all requests within the management system, including service requests, work orders, purchase orders, and invoice approvals.

Provide detailed cost analyses based on regional data, sales performance, profitability, lease strategies, and field input for repairs.

Communicate and coordinate with internal and external departments, including Store Operations, Government Entities, Engineers, Loss Prevention, Risk Management, Finance, Accounts Payable, Store Design, and a network of contractors.

Educate store personnel on strategies to minimize unnecessary maintenance costs through preventative measures and effective expense management.

Evaluate the quality of workmanship and materials used in repairs to ensure long-term effectiveness.

Engage with vendors and contractors for bids, pricing, and supply procurement.

Continuously seek and propose more efficient and cost-effective methods for managing repairs.

Assist other divisions within the Real Estate Department with special projects as needed.

Travel as required for on-site evaluations.

Maintain a solid understanding of HVAC, electrical, plumbing, and general building practices.

Perform other duties as assigned.

QUALIFICATIONS
Required:

High School diploma or equivalent (GED)

2-4 years of experience in construction, maintenance, HVAC, electrical, or related fields

Strong communication skills with a focus on customer service

Ability to manage multiple tasks, prioritize effectively, and utilize time efficiently

Demonstrated reliability and adaptability to changing workloads

Basic computer skills, including proficiency in Word, Excel, email, internet, and database systems
Preferred:

3-5 years of experience in construction, maintenance, HVAC, electrical, or a related field
