Position Summary:
We are seeking a courteous and effective Veterinary Clinic Operations Manager to oversee and streamline all administrative functions within our practice. The responsibilities of the operations manager encompass inventory oversight, scheduling coordination, conflict resolution among staff, training initiatives, and all other essential tasks that contribute to the smooth operation of the clinic. Additionally, you will be responsible for addressing inquiries from pet owners regarding clinic policies, appointment availability, and treatment costs.

Key Responsibilities:

  • Provide informal recommendations to the veterinary regional manager regarding staffing needs, promotions, reassignments, and other personnel matters.
  • Facilitate on-the-job training to enhance employee skills, evaluate performance, and discuss corrective measures to improve outcomes.
  • Recruit, hire, and onboard suitable staff members who align with the hospital's culture and needs. Manage terminations when necessary, ensuring adherence to guidelines and protocols.
  • Promote the hospital within the community by identifying and participating in relevant local and regional events.
  • Address informal employee grievances and maintain effective communication between management and staff regarding hospital policies.
  • Collaborate effectively with all team members to support the hospital's mission and philosophy.
  • Maintain accurate patient records and ensure proper documentation of veterinary practitioners' orders for treatments and activities.
  • Demonstrate knowledge of veterinary terminology to accurately enter information into patient records.
  • Gather information from pet owners to complete records and provide scheduling instructions.
  • Ensure timely resolution of pet owner complaints.
  • Exhibit strong client service skills.
  • Prepare staff work schedules and manage office personnel.
  • Display strong leadership and communication skills to guide and motivate team members.
  • Demonstrate proficiency in the English language, including grammar and composition.
  • Exercise unbiased judgment in personnel management and make fair recommendations regarding disciplinary actions.
  • Answer phone calls professionally and courteously.
  • Establish and maintain an inventory control system to ensure adequate supplies are available.
  • Implement and manage hospital policies, including those related to controlled substances and safety regulations.
  • Ensure accurate and timely payroll processing.
  • Develop positive relationships with vendors to optimize support for the hospital.
  • Notify veterinary staff promptly of emergency cases.
  • Conduct interviews for office staff candidates and provide necessary training.
  • Perform additional duties as assigned.

Qualifications:

  • Minimum of 1 year of management experience or 3+ years of veterinary experience preferred.
  • Familiarity with veterinary medical terminology and hospital operations.

  • Highly organized with proficient computer skills.
  • Self-motivated with a commitment to continuous learning and skill development.
