Job Summary/Description:Under general supervision, this role involves executing professional tasks related to property and capital asset management, inventory oversight, and the disposal of surplus property for the institution. Collaborates with the Controller's Office to ensure accurate accounting of institutional assets in compliance with state property regulations.
Typical Duties/Job Duties:- Collaborates with the Purchasing Office to assess purchase orders and works with the Accounts Payable Office to verify invoices for capital assets, real estate, and other accountable items. Assigns inventory tags to acquired items and maintains a comprehensive database of property/assets.
- Manages the logistics of delivering and/or removing large used property. Oversees the management of surplus equipment by storing, redistributing, or auctioning items in accordance with state regulations. Supervises surplus property sales, prepares bid requests, and coordinates with auctioneers and support staff. Updates the database to reflect equipment transfers and notifies the Controller's Office of disposals, ensuring compliance with policies.
- Maintains control over warehouse items and oversees the disposal of unusable tagged or untagged items in line with institutional policies. Ensures proper disposal of e-waste in accordance with state guidelines. Collects and manages Lost & Found items from University Police on a monthly basis.
- Coordinates and oversees the annual inventory of institutional property; communicates with departmental personnel and provides guidance on accurate reporting procedures. Records inventory findings in the property database and conducts audits of property and inventory records as necessary. Reconciles land and building holdings with the General Land Office annually.
- Prepares correspondence and memos for institutional personnel and state office representatives. Completes inventory control forms and maintains the property management database with accuracy and timeliness. Adheres to records maintenance and confidentiality practices. Participates in training sessions, seminars, and relevant meetings as required.
- Performs other duties as assigned.
- Demonstrated ability to perform tasks requiring precision and attention to detail.
- Proficient in both oral and written communication; strong interpersonal skills.
- Ability to work autonomously and manage workload effectively.
- Capable of operating various office and warehouse equipment.
- Familiarity with Microsoft Office and the ability to learn new software as necessary.
- Strong organizational skills to complete tasks accurately and promptly.
- Adept at managing multiple tasks amidst frequent interruptions or shifting priorities.
- Physical capability to lift 100 lbs. and carry 50 lbs.; ability to stand, bend, and stoop for extended periods.
A Bachelor's degree in business, management, or a related field is required. A minimum of two years of experience in property management, inventory control, or asset management is preferred. Experience with state property/asset management guidelines is desirable.
