About the Department:
The Human Resources Services within University Life (UL) is part of the Operations and Planning area, which manages various support functions, including Technology Services, Finance, Assessment, and Communications. The Shared Service model aims to align divisional strategy with operational needs, ensuring effective and coordinated services across UL. The UL HR Services team provides comprehensive HR support to over 35 offices, focusing on recruitment, consultation, and enhancing the employee experience through equitable practices.
About the Position:
The HR Assistant role is a part-time position (29 hours per week) dedicated to supporting HR functions within the UL HR Services. Key responsibilities encompass recruitment coordination, onboarding processes, general HR administrative tasks, records management, policy updates, and assisting with HR initiatives, including statistical reporting. The HR Assistant is a vital member of the UL HR team, contributing to various HR functions.
Key Responsibilities:
Recruitment, Hiring, and Onboarding
- Assist in recruitment efforts by managing job postings and updating candidate statuses through the Applicant Tracking System.
- Coordinate candidate interviews and manage travel reimbursements.
- Support onboarding and offboarding processes, ensuring compliance with documentation and procedures.
- Maintain accurate records related to the hiring process.
- Provide assistance with weekly tracking reports for active searches.
- Ensure compliance with employment regulations and internal policies.
- Contribute to the UL-HR service team by providing administrative support to various units.
- Monitor the UL HR team email inbox, ensuring timely responses to inquiries.
- Deliver high-quality customer support with attention to detail.
- Collaborate with team members to provide cross-functional support as needed.
- Adhere to all University policies and departmental goals.
- Assist in planning and implementing staff training and recognition initiatives.
- Participate in regular team meetings and maintain internal employee files.
- Perform other duties as assigned.
- Relevant experience in a professional environment.
- Experience working with diverse populations.
- Proficiency in Microsoft Office Suite.
- Strong problem-solving and organizational skills.
- Effective verbal and written communication abilities.
- Ability to maintain confidentiality and exercise sound judgment.
- Team-oriented approach to work.
- Experience in human resources, particularly in recruitment.
- Familiarity with Ellucian Banner software.
- Background in higher education or related agencies.
- Knowledge of HR policies and procedures.
- Proficiency with applicant tracking systems.
- Ability to adapt to changing priorities.
- Bilingual in Spanish.
- SHRM/HRCI certification.
