Key Responsibilities:
  • Review and process invoices for a designated portfolio of projects.
  • Ensure accurate monthly billing for assigned projects in accordance with contractual agreements.
  • Reconcile job cost reports, including labor, materials, subcontractor expenses, and overhead, ensuring alignment with client draws.
  • Record monthly billing and payables in the accounting system prior to month-end.
  • Familiarity with AIA G702/G703 Application for Payment Billing/Requisition process.
  • Process and distribute payments to subcontractors once project funds are confirmed.
  • Track Notices to Owners and Releases for subcontractors and suppliers within the accounting software.
  • Review project management software for Subcontracts and Change Orders, entering data into the accounting system daily.
  • Maintain accurate project contract amounts in the accounting software, updating as necessary.
  • Keep precise project-related records, including contracts and change orders.
  • Analyze project budgets against actual expenses, identifying variances and collaborating with project managers to resolve discrepancies.
  • Record general ledger and job cost journal entries as required.
  • Respond promptly to inquiries from the project team.
  • Extract data from accounting software for team distribution to additional platforms as needed.
  • Oversee the insurance policy program, ensuring data accuracy.
  • Regularly follow up on outstanding accounts receivable with teammates and clients.
  • Monitor risk management items and proactively inform management of any concerns.
  • Research and stay informed about multi-state lien laws.
  • Communicate effectively across the organization, taking initiative to gather necessary information to meet expectations and deadlines.
  • Foster healthy, professional relationships internally and externally.
  • Create consistent, high-quality work products that meet or exceed established standards.
  • Encourage a culture of inclusion where all opinions are valued and respected.
  • Enhance the company's image through professional communication and actions.
  • Perform other related duties as assigned.

Qualifications:
  • High School Diploma required.
  • Bachelor's degree in Finance or Accounting preferred, along with at least 2 years of construction accounting experience.
  • Experience with SAGE 300 CRE, Timberscan, Procure, AIA Form, Textura, and Acumatica is advantageous.
  • Intermediate proficiency in Microsoft Excel, Word, and Outlook.
  • Strong mathematical and problem-solving abilities.
  • Basic data entry skills.
  • Excellent organizational capabilities.
  • Exceptional attention to detail and commitment to accuracy.
  • Effective verbal and written communication skills.
  • Strong time management skills.
