Event Coordinator Job Summary

The City of Newberry is seeking a highly organized and creative Event Coordinator to plan and execute a wide range of community programs. This part-time position involves managing budgets, coordinating with vendors, and working closely with community partners to deliver successful events.

Key Responsibilities:
  • Embody the City's core values of Teamwork, Respect, Integrity, Accountability, Leadership, and Superior Service.
  • Coordinate, direct, and implement event programming, ensuring seamless execution from start to finish.
  • Manage event budgets, securing vendors and materials within financial constraints, and ensure efficient use of recreation funds.
  • Build and maintain relationships with event vendors, fostering strong partnerships to enhance event offerings.
  • Create marketing campaigns and materials, such as fliers, brochures, and digital promotions, to promote events and engage the community.
  • Collaborate with community partners to identify and secure a variety of vendors for event services, ensuring a diverse range of options for event execution.
  • Ensure required staff, materials, and other resources are in place for event execution, and evaluate events and activities to identify areas for improvement.
  • Maintain accurate accounting records for programs, events, and activities, and support all recreational programs and events as needed.
Qualifications:
  • Associate's degree required; Bachelor's degree preferred.
  • At least three years of event planning experience preferred, with a proven track record of successful event execution.
  • Proficient in Microsoft Office Suite, Canva, and other relevant software, with excellent verbal and written communication skills.
  • Strong organizational and coordination skills, with the ability to develop and maintain strong vendor relationships.
  • Experience in marketing and promotional material development is a plus.
Physical Requirements:
  • Prolonged periods of sitting and computer use, with occasional squatting, bending, and lifting during event setup.
