Job Summary

We are seeking a highly organized and detail-oriented Construction Administrative Assistant to join our team at Liberty Personnel Services, Inc. The successful candidate will be responsible for providing administrative support to our construction team, ensuring seamless office operations, and maintaining accurate records.

Key Responsibilities
  • Manage the permitting process from inception to completion, ensuring timely and accurate submissions.
  • Utilize Procore Construction software and Microsoft 365 to maintain project records, track progress, and communicate with team members.
  • Answer multi-line phone system, direct calls, and send email messages to clients and team members.
  • Maintain the Vice President's calendar, schedule appointments, and prepare meeting materials.
  • Coordinate meetings, appointments, and travel arrangements for project managers and team members.
  • Process contract, subcontractor agreements, and change orders, ensuring compliance with company policies and procedures.
  • Update client databases and project records, ensuring accurate and up-to-date information.
  • Prepare and organize correspondence, both hard copy and electronic, for distribution to clients and team members.
Requirements
  • Minimum 2-5 years of experience working in a construction office environment.
  • Strong knowledge of Microsoft Office and Outlook, with proficiency in Procore Construction software.
  • Excellent organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment.
  • Ability to work well under pressure, meet deadlines, and maintain a professional attitude.
