Position Summary
Event Coordination Manager:
- Reports to: Director of Events
- Schedule: Varies based on event demand. Typical hours will be from 6:00 PM to 2:00 AM on event days.
- Compensation: $19.23/hour ($28.85 for hours worked after 11:00 PM)
Discovery World is in search of a proactive and skilled Event Coordination Manager to aid in the planning, organization, and execution of private events hosted at our venue. This role will report directly to the Director of Events and will oversee a team of Event Attendants and Event Technicians, collaborating closely with clients, vendors, and internal teams to ensure the successful delivery of exceptional events that surpass client expectations. Availability for evening and weekend work is essential as required.
KEY RESPONSIBILITIES
To excel in this position, an individual must effectively carry out each essential duty. Additional minor responsibilities may be assigned.
- Maintain an accurate event calendar and documentation in partnership with the Director of Events and Discovery World's catering partner.
- Oversee and schedule Discovery World Event Attendants and Event Technicians to ensure full coverage for all private events.
- Coordinate and supervise event vendors, communicating and enforcing Discovery World's policies, procedures, and quality standards.
- Manage event setup and teardown, ensuring compliance with Discovery World's policies and standards. Typical hours will be from 6:00 PM to 2:00 AM on event days.
- Conduct pre-event inspections of event spaces to ensure adherence to safety regulations and Discovery World policies.
- Act as the primary point of contact during private events, assisting clients, Discovery World staff, catering personnel, and vendors with inquiries or requests while maintaining a high level of hospitality.
- Supervise event teardown and perform post-event inspections to ensure the venue is returned to its normal operating condition in accordance with Discovery World's policies and standards.
- Provide direction, guidance, and support to team members to ensure clarity in their roles and responsibilities, promoting high performance standards.
- Encourage a positive and collaborative work environment that fosters teamwork, creativity, and continuous improvement.

EDUCATION AND EXPERIENCE
The qualifications listed below are representative of the requirements necessary to perform the job.
- Bachelor's degree is strongly preferred. A minimum of 2 years of experience as an Event Manager or in a similar role, ideally within a hospitality or venue management context.
- Strong organizational abilities with the capacity to manage multiple projects simultaneously.
- Excellent communication and interpersonal skills, capable of building rapport and collaborating effectively with clients, vendors, and team members.
- Detail-oriented approach with a commitment to delivering outstanding customer service and exceeding client expectations.
