Position Summary

The Companion Animal Adoption Coordinator performs administrative and adoption support tasks for Friends for Animals of Metro Detroit, which provides sheltering services. This role involves engaging with the public and visitors, managing animal intake and adoptions, maintaining records, and executing related office responsibilities. Employees will handle daily tasks, follow up on issues, and utilize independent judgment and training to address standard recurring situations. Responsibilities will adapt based on the shelter's current needs.

Key Responsibilities

  • Respond to incoming calls and assist customers with inquiries.
  • Address questions from the public regarding services, animals, fees, and website information.
  • Provide courteous, efficient, and professional responses to customer inquiries, ensuring a high level of personalized service.
  • Process incoming animals and manage intake documentation.
  • Coordinate Animal Control communications.
  • Conduct adoption counseling: manage applications, prepare, and finalize adoption agreements.
  • Handle financial transactions and adhere to proper receipt protocols.
  • Respond to all email inquiries and voicemails promptly.
  • Compile and prepare daily reports.
  • Input data accurately and maintain records.
  • Assist in the daily cleaning and upkeep of office and common areas.
  • Maintain confidentiality of sensitive information.
  • Ensure timely and accurate record-keeping in the shelter database.
  • Adhere to all organizational policies and procedures.
  • Perform additional tasks as needed.

Qualifications and Skills

· Excellent telephone communication and interpersonal skills.

· Proficient in computer applications including email, MS Office, and Shelter Management software.

· Strong verbal and written communication abilities.

· Capable of organizing, prioritizing, and completing multiple tasks efficiently.

· Ability to meet established deadlines.

· Self-motivated and able to perform well under pressure.

· Detail-oriented and resourceful.

· Comfortable working in a fast-paced environment with repetitive tasks.

Requirements

Must be at least 18 years old.

Availability to work weekdays, weekends, and some holidays is required.

Experience

Experience in animal handling is preferred but not mandatory.

Licenses/Certificates

No specific licenses or certificates are required.

Physical Requirements

This position is performed in an office and shelter environment. Typical duties require the ability to walk or stand for extended periods, lift and carry up to 50 pounds, climb stairs, bend, reach, and use fingers to operate computer keyboards. The role necessitates normal speaking abilities and the use of standard or aided vision and hearing.

Additional Information

Workers may be required to work on weekends and may need to perform duties outdoors in various weather conditions.

Supervision

This position does not supervise others.
