Key Responsibilities:
- Maintain accurate records of all inventory transactions to ensure completeness and precision.
- Conduct regular stock audits to verify inventory levels.
- Prepare comprehensive reports at the conclusion of each project detailing warehouse activities, including materials received, quantities, current locations, stacking numbers, and outstanding balances.
- Oversee the inventory management process and develop departmental strategies to enhance efficiency.
- Ensure all inventory documentation adheres to established standards.
- Coordinate with the operations department to schedule material deliveries from suppliers prior to project commencement.
- Manage logistics effectively to meet operational needs.
- Implement daily activities related to office maintenance, supplies, and stationery management.
- Track monthly consumption of office supplies and maintain accurate logs.
- Plan and optimize travel routes and accommodations for team members.
- Review invoices for accuracy before submission to the accounting department.
- Collaborate with the operations department to identify necessary tools for each project.
- Prepare commitment bonds for tools and coordinate with HR for documentation.
- Request quotations for tools that are not readily available.
- Evaluate purchasing arrangements with suppliers to achieve cost efficiency.
- Prepare necessary reports and invoices for the Finance department.
Required Qualifications:
- B.A. degree in Business Administration or a related field.
- A minimum of 7 years of experience in administrative roles.
- Strong leadership and managerial skills.
- Proficient in computer applications.
- Excellent problem-solving abilities.
- Strong planning and organizational skills.
- Exceptional communication and interpersonal skills.
- Advanced proficiency in Microsoft Excel and Access.
- Knowledge of travel and booking principles.
- Understanding of efficient administration service principles.
- Familiarity with purchasing processes and sources.
- Ability to make informed decisions.
- Capacity to work effectively under pressure.
