Billing Assistant

We are seeking a highly organized and detail-oriented Billing Assistant to join our Client Relations Department at Lois Law Firm, LLC.

Key Responsibilities:
  • Enter all incoming payments into our internal billing software, including payment adjustments.
  • Process and deposit checks daily to ensure timely submission of client payments.
  • Assist with accounts receivable follow-ups and accounts payable information for certain vendors.
  • Maintain billing system information, including staffing additions and budgeting requirements.
  • Manage internal claim closures through practice management software.
  • Maintain Client Relations resources and materials to ensure up-to-date client directives, preferences, guidelines, and contacts.
  • Set up and distribute draft invoices each month for review and approval prior to final submission.
  • Ensure timely invoice submission across multiple legal billing platforms.
  • Set up invoicing information for new matters referred.
  • Communicate directly with clients via email and phone.
  • Attend regular meetings with the Firm's Client Relations Coordinator.
Requirements:
  • Training will be provided by the Client Relations Coordinator on all aspects of billing and invoicing, systems maintenance, and client contact and coordination.
  • Experience in legal billing and knowledge of legal billing platforms and LEDES98 electronic invoicing is preferred.
  • Experience in accounts payable and accounts receivable.
  • Working knowledge of all Microsoft Office applications.
  • High volume data entry experience with exceptional attention to detail.
  • Extremely organized with outstanding record-keeping skills.
  • Ability to manage responsibilities independently while also contributing to a collaborative team environment.
  • Professional phone and email communication necessary.
  • Problem-solving skills.
  • Ability to multitask and prioritize various responsibilities and differing client preferences and rules in a fast-paced environment.
