About the Role

We are seeking a highly skilled and detail-oriented Legal Specialist IV to join our team at the Sheriff's Office in San Juan County. As a key member of our staff, you will be responsible for providing administrative support to the Sheriff and Chief Civil Deputy, as well as performing a variety of complex tasks related to legal duties.

Key Responsibilities
  • Perform a variety of complex and diverse tasks, including processing legal documents, maintaining confidentiality, and providing information to county personnel and the general public.
  • Work in a high-pressure, stressful environment, making consequential work decisions in accordance with laws, regulations, and department policies and procedures.
  • Process public records requests, including completing redactions and uploading responsive records to the county records system.
  • Transcribe investigative interviews, generate correspondence, and create court documents as needed.
  • Maintain extensive inventory for the Sheriff's Office, Dispatch Center, Department of Emergency Management, and Jail.
  • Code and enter accounts payable invoices into the county accounting system.
  • Bill the Department of Corrections for inmate stays and flights, and track invoices until payment is made.
  • Complete background investigations for concealed pistol licenses, including contacting other courts, prosecutors, and law enforcement agencies.
  • Order and maintain office supply inventory and small equipment purchases for the entire Sheriff's Office.
  • Request travel advance funds and ferry tickets for staff, and prepare vouchers for accounting.
  • Assist dispatchers with inputting arrest records and PCN into the department database.
  • Work in the capacity of Chief Civil Deputy in the absence of the supervisor, which may include executing Writs.
Requirements
  • An Associate's Degree and 4 years of administrative office experience, or any equivalent combination of education, training, and experience that demonstrates the ability to perform the essential functions of the position.
  • Must successfully complete Sheriff's Civil Function – Basic training through the Washington State Criminal Justice Training Commission within one year of hire.
  • Must be able to pass a criminal history records check, qualify for a notary public license, pass the Washington State Patrol Access certification, and maintain licensure and have a valid Washington State driver's license.
Preferred Qualifications
  • Successfully complete Sheriff's Civil Function – Advanced through the Washington State Criminal Justice Training Commission within two years of hire.
  • Experience with Eden, Spillman, Laserfiche, SharePoint, and/or GovQA is a plus.
Knowledge, Skills, and Abilities
  • Demonstrated proficiency in Microsoft Office.
  • Ability to develop specific goals and plans to prioritize, organize, and accomplish work with minimal supervision.
Physical and Mental Requirements
  • Work requires continuous sitting and operation of a computer, including keyboard and mouse operation.
  • Frequent standing and walking.
  • Involves talking and hearing in person and on the phone.
  • Vision abilities required by this job include close vision and the ability to differentiate colors and read computer monitors.
Working Conditions
  • Office working environment with occasional field work to assist the Chief Civil Deputy.
  • Exposure to verbal abuse and physical harm from angry or emotionally distressed individuals.
  • Works under pressure of constant deadlines.
