Administrative Assistant for Faculty Recruiting

Job Summary:

The Administrative Assistant will provide administrative support to the Faculty Appointments Committee, including scheduling interviews, coordinating with faculty and candidates, and maintaining files.

Key Responsibilities:

  • Assist with scheduling interviews and coordinating with faculty and candidates.
  • Maintain files, both electronic and paper.
  • Provide administrative support, including printing, photocopying, and scanning.
  • Request support from other departments as needed.
  • Other duties as assigned.

Requirements:

  • Associate's degree plus two or more years of relevant experience.
  • Strong calendar management skills required.
  • Understanding of and appreciation for inclusion, including the ability to work with students, faculty, and staff from diverse backgrounds, identities, and viewpoints.
  • Excellent written and oral communication skills.
  • Outstanding interpersonal skills and demonstrated ability to work effectively in collaborative relationships.
  • Ability to gather data, compile information, and maintain recordkeeping systems.
  • Ability to organize, prioritize, and schedule work assignments.
  • Basic knowledge of budgets and cost estimating and processing.
  • Ability and willingness to learn new technologies and adapt to changing technological work environment.
  • Solid computer skills, preferably in a PC, Windows-based operating environment; experience with Microsoft Office (365) applications, and virtual work environments.

Working Conditions:

  • Primary work is done sitting and/or standing at a desk.
  • Attendance at events and meetings after traditional business hours may be required.
  • Ability to prioritize multiple tasks and deadlines and reorganize under pressure.
  • Ability to work independently and collaboratively within a team.
  • Willingness to travel to conferences and events.
  • Must be able to work legally within the United States without sponsorship.
  • Ability to perform all essential functions of the job with or without basic accommodations.
