In the vibrant city of Spokane, we are seeking a highly skilled Treatment Coordinator to join our team at Hi5 Orthodontics. With two locations in north Spokane and the South Hill, we pride ourselves on being a fun, friendly, and fast-paced orthodontic office offering top-notch services for youth and adults.

We are looking for an exceptional individual with a passion for making people smile. As a key member of our front office team, you will play a vital role in ensuring the smooth and successful appointments of all new patients. Your dedication and expertise will make a significant difference in the lives of our patients and their families.

**Responsibilities:

  • Work closely with the administrative team and Practice Managers to guarantee seamless new patient experiences.
  • Be responsible for contracts signed by patients or their guardians prior to or on the first appointment date.
  • Maintain high standards of customer service and attention to detail within the treatment coordinator room.
  • Manage all treatment coordinator records and reports, ensuring accurate communication with the Practice Manager.
  • Prepare treatment rooms for new patient exams and welcome patients warmly.
  • Verify new patient charts to ensure correct information entry upon scheduling.
  • Have the iPad ready for patients who haven't completed the online questionnaire beforehand.
  • Ensure new patient paperwork is complete, mapping fields from the online questionnaire into the chart while adhering to HIPPA laws.
  • Complete new patient X-rays for appointments.
  • Provide accurate pricing based on treatment plan recommendations, including expected insurance coverage if verified.
  • Work with patients to set up comfortable monthly payments aligned with office guidelines.
  • Keep records of contracts, fees, referrals, and other important information.
  • Fill the schedule as needed by coordinating with Front Desk Coordinators.
  • Evaluate accuracy of charting and insurance data to ensure proper submission by the Insurance Coordinator.
  • Collect and scan new insurance information, obtaining copies of cards and half-sheets filled out.
  • Sign contracts with patients or guardians before but not later than the banding date.
  • Communicate with Practice Managers to keep contracts and documents up-to-date.
  • Participate in staff meetings, front office gatherings, and daily huddles.
