Office Administration Specialist

We are seeking a highly skilled Office Administration Specialist to join our team at Allied Group Inc., a dynamic filter manufacturing company located in Mendham, NJ. As an Office Administration Specialist, you will play a critical role in ensuring the smooth operation of our office, providing exceptional customer support, and contributing to the growth and success of our organization.
The ideal candidate will have a strong background in office administration, with 3-10 years of experience in roles similar to this position. You will be responsible for managing the day-to-day office operations, including answering phones, addressing customer inquiries, scheduling production, and creating processes to improve efficiency. Your advanced knowledge of QuickBooks Desktop and Microsoft Office will enable you to oversee bookkeeping, manage accounts, and maintain accurate records.
This exciting opportunity comes with a competitive compensation package, including a base salary of $65,000-$80,000 per year, depending on experience, plus comprehensive benefits, such as health insurance, paid time off, and a vacation plan. Key Responsibilities:
- Customer Service: Providing exceptional support to customers through phone calls, emails, and in-person interactions;
- Operations Management: Coordinating schedules, production, and workflows to ensure seamless operations;
- Process Development: Creating and implementing processes to streamline office administration, reporting, and accounting functions;
- Financial Management: Managing accounts receivable, accounts payable, payroll, and basic bank reconciliations;
- Record Keeping: Maintaining accurate and up-to-date records and files;
- Administrative Tasks: Performing other administrative duties as needed;
Requirements:
- 3-10 years of experience in office administration, business management, or similar roles;
- Advanced QuickBooks Desktop experience;
- Proficiency in Microsoft Office and related programs, including Excel;
- Strong organizational and communication skills;
- A bachelor's degree in business or a related field (optional);
