Job Details:
This part-time role involves working approximately 48-55 hours over a two-week pay period.

Responsibilities:

Under general supervision, you will provide clerical support and administrative assistance in a professional manner, adhering to established policies and procedures.

Duties include:
  • Follow reception schedules and instructions from supervisors as per established guidelines.
  • Manage the overhead paging and telephone systems, answering calls and directing them appropriately.
  • Maintain an updated directory of residents, emergency contacts, and department extensions.
  • Offer assistance and information to visitors, residents, and sales representatives.
  • Create a welcoming and calm atmosphere throughout the facility.
  • Order supplies as necessary.
  • Operate office equipment as directed.
  • Assist department heads with administrative tasks such as typing reports and correspondence.
  • Prepare outgoing mail and manage incoming mail distribution.
  • File incident reports according to established procedures.
  • Process payments and issue receipts as required.
  • Maintain organized files and records.
  • Coordinate meetings and conferences.
  • Report any complaints or grievances to the Administrator promptly.
  • Perform other related duties as assigned.
Knowledge, Skills, and Abilities:
  • Proficient in reading, writing, and understanding English, with the ability to follow instructions.
  • Capable of making independent decisions and remaining composed in emergencies.
  • Ability to interact tactfully with staff, residents, and the public.
  • Familiarity with administrative practices and procedures.
  • Experience with computer software, particularly Microsoft applications.
  • Possess patience, tact, and a positive attitude while interacting with individuals of varying maturity levels.
  • Maintain confidentiality in accordance with privacy regulations.
Work Environment:

The role involves working in office settings and throughout the facility, with frequent interruptions expected.
