Position Title: Financial Operations Specialist

Location: Remote

Employment Type: Full-time, with occasional evening and weekend hours required

Status: Non-Exempt

Compensation: $25 - $33/hour, based on qualifications and experience

Reports To: Operations Manager

Role Overview: The Financial Operations Specialist will manage a variety of financial responsibilities, including accounts payable, cash management, financial reporting, and maintaining financial records using QuickBooks. This role requires adherence to standard accounting practices and the ability to adapt to a dynamic work environment while working independently.


Key Responsibilities:

  • Perform general bookkeeping and accounting functions, ensuring proper documentation is maintained.
  • Oversee daily financial operations in QuickBooks, including the analysis and reconciliation of general ledger accounts and investment transactions.
  • Conduct bank reconciliations and balance sheet analyses to verify the accuracy of financial records.
  • Manage accounts payable and receivable, cash flow projections, and journal entries.
  • Prepare deposits, checks, and invoices as necessary.
  • Input sales receipts and invoices from various donation platforms.
  • Record bank and credit card transactions, categorizing expenses appropriately.
  • Download and reconcile investment account data.
  • Review accounts payable and receivable to ensure accuracy.
  • Process invoice payments as required.
  • Collect and enter grant agreements into QuickBooks, monitoring associated expenses.
  • Document pledges and conduct monthly/quarterly account analyses.
  • Coordinate with vendors, managing receipts and reviewing business expenses and reimbursements.
  • Organize and file all paper invoices and receipts, ensuring they are uploaded to the online tracking system.
  • Generate financial reports for the Governance Board and executive staff.
  • Prepare monthly financial statements and respond to auditor requests.
  • Assist in year-end financial preparations for budgeting and reporting.
  • Engage in special projects and additional duties as assigned.
  • Support general office tasks, including answering phones and assisting with outreach and fundraising efforts.
  • Occasional local travel may be required.

Qualifications:

  • Minimum of 3 years of experience in general accounting.
  • Bachelor's degree in Accounting, Finance, Business, or a related field is preferred.
  • Experience in nonprofit organizations is advantageous.
  • Proficiency in QuickBooks and the Microsoft Office Suite is essential.
  • Understanding of Generally Accepted Accounting Principles (GAAP).
  • Demonstrated professional integrity and ability to handle sensitive information confidentially.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks while meeting deadlines.
  • Ability to work independently, adapt to changing priorities, and thrive in a fast-paced team environment.
