Job Overview
This role is pivotal in managing and coordinating the reconditioning of vehicles throughout the fulfillment process. The Reconditioning Services Specialist is responsible for scheduling, monitoring, and communicating all activities related to vehicle reconditioning, ensuring that all necessary information and documentation are verified and accurately entered into the system.
Key Responsibilities:
- Oversee and coordinate all activities related to vehicle reconditioning, ensuring accurate information and documentation.
- Perform various clerical and administrative tasks associated with vehicle reconditioning fulfillment.
- Receive vehicle and registration requests from customers seeking reconditioning services.
- Conduct data entry and verify that customer vehicle information is accurately recorded and tagged with a work order.
- Assess reconditioning requirements and provide timely, precise quotes to customers.
- Conduct visual inspections of vehicles to evaluate cosmetic reconditioning needs.
- Estimate costs for cosmetic repairs and discuss approvals with customers, documenting outcomes accordingly.
- Collaborate with reconditioning shop areas for vehicle repairs and ensure timely posting of charges to the appropriate accounts.
- Maintain records of charges associated with reconditioning fees for customer accounts.
- Check for recalls on all vehicles and document results appropriately.
- Work with finance and accounting teams to ensure timely billing and collections, addressing any discrepancies with customers as needed.
- Build strong service relationships with customers and manage their expectations through proactive communication.
- Respond to customer inquiries regarding their vehicles, providing quality service and problem resolution.
- Maintain knowledge of customer account agreements, vehicle files, and records of completed reconditioning work.
- Input all relevant information into AS400, AutoPoint, and other systems for approved customer requests.
- Utilize AS400/VCF/AutoPoint systems to monitor and track vehicle repairs.
- Communicate and schedule repairs with Recon Shop management effectively.
- Monitor vehicles throughout the reconditioning process to ensure adherence to timelines.
- Review completed work to ensure it meets or exceeds customer quality standards.
- Promote additional services to dealers upon delivery of completed work.
- Follow up with customers to confirm satisfaction upon completion of services.
- Collaborate with finance and local management to ensure timely customer billing and accounts receivable collection.
- Demonstrate a commitment to safety by adhering to all safety protocols and procedures.
- Perform other duties as assigned by management.
Minimum Requirements:
- High School Diploma/GED and 3 years of experience in a related field.
- Alternatively, candidates may possess any level of degree/certification beyond a HS diploma/GED in a related discipline with up to 1 year of experience.
- Or, 5 years of experience in a related field.
- Proficient in computer systems with a quick learning ability.
- Excellent verbal and written communication skills for effective collaboration across the organization.
- Experience in the automotive, transportation, logistics, or similar industries is desirable.

Benefits:
Employees are eligible for a minimum of sixteen hours of paid time off each month, along with seven paid holidays throughout the year. Additional paid time off may be available for bereavement, voting, jury duty, volunteering, military service, parental leave, and COVID-19 vaccination leave.
