ABOUT THE POSITION:
This role is essential in ensuring the smooth operation of the outpatient department, encompassing various office support tasks, patient scheduling, and rooming procedures. The position also involves assisting the pharmacy with clerical duties related to compliance reporting and patient financial assistance documentation, while providing support across departments during peak times.
KEY RESPONSIBILITIES INCLUDE:
- Upholding the mission, vision, and core values of the organization.
- Delivering exceptional service to enhance the patient and customer experience.
- Executing opening and closing procedures for the department.
- Managing patient scheduling efficiently, ensuring timely appointments and rescheduling; utilizing technology for data entry and information retrieval.
- Providing telephone support for the department, including screening calls and relaying messages promptly.
- Overseeing assigned work queues and maintaining organization.
- Handling photocopying, faxing, printing, and information distribution within the department.
- Collaborating with the Health Information Department to maintain accurate patient documentation and ensure timely prior authorization entries in the electronic health record.
- Welcoming and directing patients, providers, and visitors with professionalism and courtesy, while maintaining confidentiality.
- Accurately transcribing provider orders and documenting relevant information in the electronic health record.
- Supporting the pharmacy with compliance reporting and financial assistance documentation.
- Assisting with clerical tasks such as report generation, invoicing, and managing work queues.
- Implementing quality improvement initiatives to enhance departmental operations.
- Coordinating clinic logistics, including equipment checks and room preparation with necessary supplies.
- Conducting patient check-ins, ensuring all forms are completed, and gathering pertinent information.
- Recording vital signs and other relevant patient data.
- Performing pre-visit chart reviews to ensure completeness and assist in chronic disease management coordination.
- Engaging in huddles with providers to discuss patient care and wellness needs.
- Assisting providers and nursing staff during examinations, preparing patients for procedures, and maintaining cleanliness post-visit.
- Adhering to medical ethics and confidentiality standards, while promoting patient rights.
- Continuing professional development through workshops and seminars to stay updated on industry trends.
- Participating in assigned meetings, committees, and improvement projects.
QUALIFICATIONS:
A high school diploma or equivalent is required. An active Certified Nursing Assistant (CNA) credential is mandatory. Current Basic Life Support (BLS) certification is also required, with recognition from accredited organizations. Advanced Cardiac Life Support (ACLS) certification is necessary.
