Job Summary

We are seeking a highly skilled and detail-oriented Compliance Coordinator to join our team in Newton Centre, MA. The successful candidate will be responsible for providing information and training to city staff, board and commission members, and elected officials on Open Meeting Law requirements, Public Records Law, and Conflict of Interest Law.

Key Responsibilities
  • Provide information and training to city staff, board and commission members, and elected officials on Open Meeting Law, Public Records Law, and Conflict of Interest Law.
  • Record who has completed training and submitted receipt.
  • Create yearly Conflict of Interest Summary database for distribution and recording of summaries as well as a database for distribution and recording of biennial Conflict of Interest Training.
  • Post board and commission meeting agendas electronically and in hard copy as required by Open Meeting Law.
  • Work with city board and commission staff liaisons to ensure compliance with Open Meeting, Public Records, and Conflict of Interest Laws.
  • Maintain the database of Board and Commission members.
  • Work with the City Clerk and the Law Department to coordinate and staff compliance training sessions.
  • Assist citizens and others on the phone and in person at the City Clerk's counter.
  • Follow and adhere to department, City of Newton, State, and Federal laws, regulations, policies, and procedures.
  • Receive and process applications for all licenses, permits, and certificates issued by the City Clerk's Office.
  • Assist citizens with requests for vital records and issue certified copies.
  • Process and issue Dog Licenses and Off-Leash Permits.
  • Record and issue Business Certificates.
  • Assist with voter registration and validation, as well as precinct and polling location assignments.
  • Verify authenticity of submitted information and documentation.
  • Enter additions, deletions, changes, and other required voter registration information.
  • Assist with the certification of nomination and petition papers, the preparation of campaign and political finance election forms and packets, advising candidates and committees-to-elect of procedures, regulations, time frames, and reporting requirements.
  • Assist with absentee ballot applications and the coordination, recording, and preparation of absentee ballots for distribution to the polling locations.
  • Assist with the organization, preparation, and packing of election materials and supplies to be delivered to each polling location.
  • Assist with Census data processing.
  • Answer telephone calls, direct calls, or take and/or relay messages, obtain or supply factual and at times technical information.
  • Explain routine City Clerk office policies and procedures.
  • May assist in the preparation of office correspondence, notes, notices, reports, and other documents, permits, applications, and licenses.
  • Perform data entry/retrieval.
  • Attend and participate in staff, department, or other meetings.
  • Perform other duties as required.

  • Must be a Massachusetts Notaries Public and a Commissioner to Qualify Public Officials within three months of employment and must maintain those designations while employed.
  • Associates and one to three years of related experience and/or training or equivalent combination of education and experience.
  • Knowledge of recording and office procedures and the operation of office equipment such as personal computers and computer software, data processing, and/or word processing.
