Role Summary

The Membership Services Coordinator plays a crucial role in managing all aspects of membership operations, including data entry and maintenance within the My ClubHub system, overseeing member documentation, and handling applications from the Division of Family Services.

Qualifications

  • Comprehensive understanding of the organization's mission, vision, and objectives.
  • Familiarity with organizational policies and procedures.
  • High school diploma accompanied by two years of administrative experience.
  • Three to five years of experience in club environments or related fields.
  • Proficient knowledge of Youth Development Standards.
  • Strong computer skills with familiarity in various software applications.
  • Effective communication abilities with youth, parents, staff, and volunteers.
  • Current CPR and First Aid certification.
  • Exceptional bookkeeping and administrative skills.
  • Self-motivated individual with strong organizational, interpersonal, and time management skills.
  • Possession of a valid driver's license.
Key Responsibilities
  • Maintain precise records related to application processing, daily attendance, and member documentation.
  • Ensure accurate daily attendance tracking and reporting to management as required.
  • Compile monthly membership data and reports consistently.
  • Prepare and submit the weekly SACC report.
  • Oversee the SACC tracker to ensure all data is accurate and up-to-date.
  • Assist the Unit Director with all membership-related reporting requirements.
  • Monitor My ClubHub to guarantee the administrative office receives correct information.
  • Meet all deadlines for membership data and information.
  • Train and supervise enrollment specialists in parent engagement for enrollment processes.
  • Oversee the entire membership enrollment procedure, ensuring completeness of applications and supporting documents.
  • Manage the sign-in process for members.
  • Act as a liaison with the Division of Family Services regarding the enrollment of subsidized children, ensuring all applications and documents are ready for submission.
  • Plan and execute new member orientation sessions.
My ClubHub Duties
  • Maintain the membership database.
  • Capture photos and produce membership cards.
  • Train and oversee volunteers in data entry, photography, and card production.
  • Export data at the conclusion of each club day.
  • Generate reports as necessary.
Financial Responsibilities
  • Collect membership fees along with applications and issue receipts.
  • Safeguard all collected funds and prepare daily deposits.
  • Once established, manage Money Trax to track member payment information.
  • Ensure all scholarship forms are accurately completed and submitted to administration.
Expected Outcomes
  • Foster a secure and supportive environment for youth development.
  • Achieve membership goals effectively.
  • Ensure a well-organized membership unit where records are meticulously maintained, attendance is documented, financial transactions are accurate, and customer service practices are exemplary.
