Position Overview

The Fleet Operations Service Specialist, or FOSS, will facilitate the management of shop operations through effective customer interactions and scheduling, inventory procurement and management, repair tracking, and maintenance documentation. Shop Location - Rock Tavern, NY

Work Schedule - Monday to Friday

Shift Timing - 7:00 AM to 3:30 PM

Compensation - Hourly Rate Ranges from $23.00 to $26.00

Key Responsibilities

  • Customer Engagement: Enhance the quality and consistency of customer communications to meet expectations.
  • Manage customer relations, including issue resolution and satisfaction.
  • Implement customer communication protocols for preventative maintenance scheduling, follow-ups, breakdowns, and vehicle status updates.
  • Workflow Management: Boost branch productivity through effective scheduling and planning.
  • Create repair order tasks and maintain work planning documentation.
  • Analyze maintenance reports to schedule preventative maintenance, repair initiatives, and follow-ups on vehicles.
  • Collaborate with the rental department to determine repair needs, available substitute units, and vehicle cleaning requirements.
  • Coordinate external repairs with vendors and customers.
  • Parts Management: Support cost control through efficient inventory planning and warranty management.
  • Execute parts inventory management processes, including physical inventory, ordering, receiving, stocking, managing purchase orders, and coordinating parts delivery.
  • Provide recommendations on minimum and maximum inventory levels to the planning team.
  • Manage parts obsolescence and facilitate warranty and return processes.
  • Maintain organization and cleanliness in the parts room.
  • Administrative Duties: Handle all incoming shop calls effectively.
  • Perform clerical tasks related to shop operations, including vehicle maintenance records.
  • Process all Accounts Payable transactions.
  • Create repair orders for technicians.

Skills and Qualifications

  • Proficient computer skills, including spreadsheet and word processing software.
  • Intermediate experience with Microsoft Word and Excel preferred.

Education and Experience

  • High School diploma or GED required.
  • Minimum of three (3) years of customer service experience with issue resolution required.
