Job Summary

Vanderbilt University Medical Center is seeking a highly skilled Grants Manager to join our Office of Sponsored Programs team. As a key member of our Pre-Award Shared Resource Service delivery team, you will provide exceptional customer service to our research community, ensuring timely and accurate proposal submissions and award management activities.

Key Responsibilities
  • Monitor and understand funding mechanisms to assist PIs in determining requirements, deadlines, and time management for responses to PAs/RFAs or general application submissions.
  • Coordinate multiple applications under absolute deadlines, ensuring timely and accurate submissions.
  • Prepare proposals within parameters of sponsored research guidelines, overseeing and communicating the submission process and resolving issues related to proposal preparation and submission.
  • Develop, prepare, revise, and finalize project budgets, and assist with budget justifications in collaboration with PIs.
  • Serve as a collaborative, professional liaison and active partner between PIs, research groups, and other departmental staff related to grant or contract submissions.
  • Assemble documents in required electronic formats within application tools prior to submission, and assist PIs with electronic submission processes.
  • Maintain recent and up-to-date biosketches, other support, and various ancillary data/documentation as required throughout the grant life cycle.
  • Process annual progress reports (RPPRs) for review through the necessary channels for central office review and submission (NIH Commons, Coeus, PEER).
  • Monitor and identify the need for, and take immediate action to process, any required prior approval documentation through the appropriate teams/channels for review and submission to the sponsoring agency.
  • Stay abreast of new/updated internal/external policies, procedures, deadlines, and timeframes by working closely with central administrative offices, and communicate such updates to faculty and research staff.
Requirements
  • Proficient and excellent knowledge of commonly used software packages (i.e., Microsoft Word, Excel, PowerPoint, Adobe, and email programs).
  • Extensive knowledge of the federal regulations governing sponsored research (i.e., OMB Uniform Guidance).
  • Organized and analytical, with excellent written and oral communication skills.
  • Demonstrated ability to work both as a member of a team and independently, with the ability to work under the pressure of hard deadlines and competing priorities.
  • Ability to learn in detail sponsor-specific electronic grants management systems (i.e., grants.gov, Proposal Central, NIH eRA Commons, NSF Fastlane) in addition to VUMC-specific ERA systems (COEUS/PEER/WorkDay/Aries/Discover-E).
  • Ability to identify resources, solve problems, and take initiative, with a commitment to providing professional, efficient, and timely service to the VUMC research community.
