Job Overview

DEPARTMENT: Administration/Accounting

LOCATION: Primarily based at the designated convention center; however, duties may necessitate travel to various facilities associated with the organization.

SHIFT: Full-time: Minimum of 40 hours per week, typically Monday to Friday; hours may vary and include evenings, weekends, and holidays as required.

REPORTS TO: Director of Accounting

SUMMARY: The Procurement Specialist will play a vital role in ensuring the timely acquisition of goods and services necessary for the organization's operations. This position involves liaising with suppliers, maintaining precise records of transactions, and assisting the Accounting department in meeting its goals effectively.

KEY RESPONSIBILITIES:

  • Generate and manage purchase orders based on departmental requests.
  • Confirm specifications, quantities, and pricing of ordered products/services.
  • Collaborate with suppliers to guarantee prompt delivery of goods and services.
  • Engage with vendors to obtain pricing, negotiate terms, and address any order-related issues.
  • Foster and maintain professional relationships with suppliers to streamline purchasing processes.
  • Assess vendor performance and provide recommendations for enhancements as needed.
  • Conduct regular inventory audits and resolve any discrepancies identified.
  • Identify opportunities for inventory optimization and cost reduction.
  • Maintain accurate documentation of purchases, pricing, and deliveries.
  • Ensure adherence to organizational policies and Mississippi State Purchasing Laws.
  • Assist in preparing financial reports and responding to requests from auditors.
  • Support the maintenance of accounting records and general administrative tasks as assigned.
  • Occasionally, provide assistance to other departments as necessary, promoting a collaborative work environment.
  • Be aware of and support the organization's vision for all its facilities.

QUALIFICATION REQUIREMENTS:

Education and Experience: An associate degree in Business Administration, Accounting, or a related field is preferred, along with a minimum of one year of experience in a similar role.

Essential Job Qualifications:

  • Must possess a valid driver's license and meet eligibility criteria for driving on company business.
  • Must have reliable transportation for required travel.

Knowledge and Skills:

  • Due to the sensitive nature of this role, confidentiality and accuracy are paramount.
  • Must be organized, detail-oriented, and possess strong time-management abilities.
  • Ability to maintain precise records in accordance with established procedures and state regulations.
  • Proficient in Microsoft Office, especially Excel.
  • Ability to work under pressure and accommodate irregular hours, including nights, weekends, and holidays as needed.
  • Strong negotiation skills and the ability to establish effective working relationships with colleagues and vendors.
  • Ability to work independently with minimal supervision.
  • Excellent oral and written communication skills are essential.
