The Program Coordinator is responsible for steering projects to ensure that clients receive what they anticipated, within the agreed timeframe and budget, while aligning Tait's efforts with project plans.

This role requires a comprehensive understanding of the project lifecycle and the application of suitable business processes to guarantee successful outcomes for both clients and Tait. Occasional travel to client sites may be necessary. Furthermore, the Program Coordinator will collaborate with sales and engineering teams to support sales initiatives aimed at generating new orders for Tait's products and services.

Key Responsibilities
  • Adhere to project management best practices, ensuring that client requirements are clearly defined and documented in a comprehensive Project Management Plan and System Requirements Specification, communicated effectively to all stakeholders.
  • Upon project initiation, act as the primary contact for Tait, proactively managing the delivery of all contractual obligations as agreed upon by the client, Tait, and any third-party contributors, ensuring project delivery and profitability targets are met.
  • Facilitate clear, concise, and collaborative communication with clients, colleagues, and partners throughout the project lifecycle, fostering open and proactive dialogue among all parties involved.
  • Ensure that all participants in the project delivery comprehend their roles and responsibilities.
  • Deliver projects on schedule, considering physical resource constraints, and maintain a visible project timeline.
  • Plan and oversee resource allocation to guarantee adequate resources are available for project completion.
  • Manage project expenditures to ensure successful completion within the established budget.
  • Maintain baseline project budgets and accurately forecast revenue milestones.
  • Oversee all internal and external service providers, including solicitation, scope definition, contract negotiation, execution, project implementation, quality assurance, and payment processes.
  • Monitor project progress and regularly report on milestones achieved.
  • Manage and adapt to changes required by the project to ensure the delivery of agreed-upon outcomes, executing timely change orders as necessary.
  • Proactively identify, track, and mitigate risks, ensuring prompt reporting of project variances and issues that may affect technical solutions or project milestones.
  • Possess sufficient product knowledge to:
    • Engage credibly with both business and technical clients
    • Identify suitable overall solutions for discussion with clients
    • Ask pertinent questions to ascertain appropriate solutions
    • Sketch basic designs of systems and components
    • Communicate client needs to Tait's systems sales specialists
    • Highlight key features and benefits of Tait's products compared to competitors
  • Contribute to opportunity assessments and strategic sales planning for complex solution sales, providing insights on project planning, service estimates, and sales strategies.
Qualifications
  • Project Management Professional (PMP) Certification or equivalent preferred.
  • Bachelor's degree in a relevant technical field or equivalent experience.
  • Advanced project management knowledge with a minimum of 5 years of experience in planning, estimating, and managing the successful implementation of communication systems.
  • Basic understanding of radio communications systems preferred.
  • Strong commercial acumen and a foundational understanding of contract law.
  • Excellent verbal and written communication skills.
  • Experience in negotiation and collaboration related to contract management.
  • Proficient in project management tools such as Microsoft Project, Excel, Word, and PowerPoint.
  • Flexibility to adapt to changing business models and customer requirements.
  • Strong presentation and meeting management skills, with the ability to lead cross-functional teams without direct authority.
  • Business insight and proficiency in executive reporting.
  • Experience leading in a matrix environment, effectively motivating others without direct management authority.
  • Willingness to travel periodically as required.
Reporting Structure
  • This position reports directly to the Vice President of Business Operations.
  • Involves significant interaction with sales management, marketing, engineering, operations, finance, and product engineering teams.
  • The Program Coordinator does not have direct reports but is responsible for leading an integrated project team with matrix supervision.
  • Exposure to all management levels within the organization.
Occupational Safety and Health

All staff are required to adhere to Tait's policies and procedures, including:

  • Familiarity with evacuation procedures and locations of fire exits and extinguishers.
  • Knowledge of first aid and fire warden contacts in the area.
  • Use of company-provided protective equipment when necessary.
  • Immediate reporting of any hazards or accidents.
