This pivotal position is responsible for delivering exceptional administrative support to Financial Advisors, their current and prospective clients, as well as other branch personnel.

The perfect candidate will possess strong communication abilities across various platforms (telephone, email, in-person, virtual), along with the capability to organize, manage, and track numerous detailed tasks and assignments amid frequently shifting priorities and deadlines in a fast-paced, results-driven environment.

Key Responsibilities

  • Acts as the primary contact for managing a high volume of daily interactions, addressing basic inquiries, providing quotes, and scheduling meetings with both prospective and existing clients through various communication channels.
  • Collaborates independently and within a dynamic team to offer essential support to financial advisors and the branch office.
  • Facilitates the onboarding of new clients, establishes new client accounts, and investigates client and security information utilizing internal databases and other technologies.
  • Ensures that key client information and documentation adhere to firm and industry standards, rules, and regulations.
  • Oversees and processes the transfer of assets to confirm that all assets and cost basis have been accurately received.
  • Monitors available cash awaiting investment, including generating weekly cash and cash equivalent reports and reaching out to clients regarding investment opportunities to optimize returns.
  • Evaluates, addresses, and responds to all corporate action items and client account alerts.
  • Prepares financial reports, spreadsheets, and other materials for client meetings.
  • Inputs orders and rebalances portfolios on behalf of Financial Advisors.
  • Creates and maintains records and files using Client Relationship Management (CRM) software.
  • Assists Financial Advisors with marketing initiatives, including seminars and other client-focused events.
  • Engages actively in available training and professional development opportunities to stay updated on firm and industry policies and procedures.
  • Performs additional duties and responsibilities as assigned.
Qualifications:

Knowledge, Skills, and Abilities

Knowledge of

  • Company structure, policies, mission, and strategies.
  • Managed account platforms.
  • General office practices, procedures, and methods.
  • Investment concepts, practices, and procedures utilized in the securities industry.
  • Financial markets, products, and industry regulations.
  • Trading terminology.

Skill in

  • Client Relationship Management (CRM) software or similar contact management systems.
  • Goal planning software.
  • Excel, including the ability to develop spreadsheets as needed for ongoing reporting.
  • Effective communication across multiple client interaction platforms (in-person, virtual, phone, and mail).

Ability to

  • Operate standard office equipment and utilize required software applications to produce correspondence, reports, electronic communication, spreadsheets, and databases.
  • Analyze and research account information.
  • Organize, manage, and track multiple detailed tasks and assignments with frequently changing priorities and deadlines in a fast-paced, task-oriented environment.
  • Identify time-sensitive items and evaluate competing priorities.
  • Take initiative and proactively follow up on submitted items to ensure completion; resolve errors, questions, or concerns.
  • Handle stressful situations while providing a high level of customer service in a calm and professional manner.
  • Analyze problems and establish solutions in a fast-paced environment.
  • Utilize mathematics sufficient to process account and transaction information.
  • Employ appropriate interpersonal styles and communicate effectively, both orally and in writing, with all organizational levels, in person and virtually.
  • Work both independently and as part of a cohesive team.
  • Deliver a high level of customer service.

Educational/Previous Experience Requirements

Education/Previous Experience

  • High School Diploma or equivalent and one (1) or more years of experience in the securities industry or related fields preferred.
  • OR ~
  • An equivalent combination of experience, education, and/or training as approved by Human Resources.

Licenses/Certifications

  • SIE required unless an exemption or grandfathering applies.
  • Series 7 required.
  • Series 63, 65, and/or 66 as required by state regulations.
