Position Overview:

The Legal Administrative Assistant will provide comprehensive support to multiple attorneys, including the head of the Entertainment & Media Practice on the West Coast, in a secretarial and executive capacity. This role involves a variety of administrative, clerical, and document management tasks within the Entertainment department. This is an in-office role, requiring flexibility for overtime as necessary.

Key Responsibilities:

  • Oversee communication lines for the attorneys, managing calls, organizing and initiating conference calls, and relaying messages as required. Engage with clients, opposing legal representatives, courts, and other relevant parties.
  • Handle time tracking, initiate new cases, draft engagement agreements, and review responses.
  • Coordinate travel arrangements, process expense reimbursements, maintain schedules, compile information, and perform other administrative tasks as needed.
  • Conduct necessary research.
  • Organize and maintain legal files (both physical and digital), ensuring documents are filed systematically, and prepare, type, proofread, and manage legal and administrative correspondence.
  • Oversee document deliveries and monitor the status of finalized documentation.
  • Work collaboratively with team members, offering assistance as time allows.

Required Skills & Competencies:

  • Understanding of entertainment law practices, including film, television, music, and digital transactions is advantageous.
  • Proficiency in Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook, along with familiarity with document management systems and other office technologies.
  • Ability to uphold high standards of professionalism, including maintaining confidentiality (both client and internal), exercising sound judgment, and anticipating the needs of attorneys with busy practices.
  • Exceptional attention to detail, strong organizational capabilities, and effective time management skills.
  • Positive demeanor, excellent interpersonal and communication skills, and the ability to work well in a team environment.
  • Physical ability to move around the office frequently to retrieve documents and meet with attorneys.
  • Capability to perform under pressure and meet tight deadlines.

Qualifications & Experience:

  • A Bachelor's Degree or equivalent experience is preferred.
  • A minimum of 7 years of experience in a business law environment with exposure to entertainment law.
  • Proficiency in Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook, as well as experience with e-filing and document management systems.
  • Exceptional computer skills with a quick adaptability to new software applications.
  • Familiarity with DocuSign and Concur is preferred.
