Key Responsibilities
The Administrative Assistant will perform various administrative and office support tasks as directed by the Agency Business Director, including but not limited to:
- Typing and transcription of business-related documents.
- Managing client referrals and ensuring they are directed to the appropriate personnel.
- Maintaining and organizing client files using systematic filing methods.
- Handling incoming calls and directing them to the correct department.
- Inputting data into company systems and maintaining tracking documents.
- Coordinating staffing schedules and being available for on-call duties as required.
- Assisting with employee time tracking and new hire documentation.
- Greeting visitors and managing on-site inquiries.
- Sorting and distributing mail and other communications.
- Maintaining office equipment and assisting staff with their use.
- Performing general clerical duties such as filing, photocopying, and collating.
- Collaborating with the Agency Business Director on procurement of office supplies.
- Ensuring a clean and organized workspace.
- Supporting training sessions and new hire orientations.
- Carrying out additional tasks as assigned.
Qualifications
- High School Diploma or equivalent required.
- Experience in an administrative role or a related field; experience in community health is preferred.
- Ability to read and understand basic instructions and correspondence.
- Proficient in basic arithmetic operations.
- Capable of following detailed instructions and solving straightforward problems.
