Job Title: Medical Records Coordinator

We are seeking a highly organized and detail-oriented Medical Records Coordinator to join our team at Regency Integrated Health Services.

Job Summary:

The Medical Records Coordinator will be responsible for maintaining and updating the residents' clinical records in a confidential and systematic manner. This includes filing documents, entering new admits and discharged residents, tracking outgoing telephone orders, and maintaining tracking logs for progress notes and physician's history and physical.

Key Responsibilities:
  • Filing documents in the appropriate records daily
  • Entering new admits and discharged residents in the Admission/Discharge Log daily
  • Tracking outgoing telephone orders and other documents pertaining to the resident
  • Maintaining tracking logs for Progress Notes, Physician's History and Physical
  • Sending out monthly compliance letters to physicians and following up bi-monthly on progress of visits
  • Communicating with Administrator, DON, and Medical Director on the compliance of the physicians' services
  • Maintaining the Death Report and mailing/faxing to the State each month
  • Printing the MARS/TARS and Consolidated Orders
  • Maintaining and updating Master Signature Legend
  • Auditing new admits, re-admits, and discharged residents' records and reporting findings during the morning meeting
  • Maintaining HIPAA log of requests for releases of information received pertaining to past or present residents of the facility
  • Completing monthly QA forms and participating in the QA and compliance meetings as required
  • Following up on incomplete records daily
  • Checking completion of Discharge Summary
  • Closing out discharged residents' records
  • Maintaining the Destruction Log for closed records
  • Boxing previous year closed records for storage
  • Ordering nursing department office supplies/forms and maintaining availability at nurses' station
  • Updating forms in various locations as changes are made by the corporate Forms/Policy Committee
Requirements:
  • High school diploma or equivalent required
  • No licensing requirements
  • No experience requirements
