About the Role:
The Senior Staff Accountant & Systems Administrator will be an integral part of our Finance team within the Infrastructure Department.
This position will collaborate closely with the finance team to oversee a variety of accounting responsibilities for CPD, CPDA, Popular Democracy PAC, and other affiliated entities.
The primary focus will be on maintaining financial records, including the management of monthly, quarterly, annual, and semi-annual schedules, as well as year-end audit and tax preparation, and supporting grant financial reporting to funders.
This role will also take charge of all aspects of finance system management and maintenance, addressing any issues that arise within or between systems.
Moreover, the Senior Staff Accountant & Systems Administrator will be responsible for identifying and implementing enhancements in finance processes and procedures to boost the efficiency of the finance team.
Travel may be required for in-person meetings and events, including team retreats, as necessary.
We anticipate that candidates will possess approximately 10 years of relevant experience; however, our evaluation will prioritize the ability to meet the position's requirements over the number of years worked.
Key Responsibilities:
The Senior Staff Accountant & Systems Administrator will:
Oversee daily management and troubleshooting of all finance systems, including: SAP Concur for Travel, Invoice, and Expense; Sage Intacct as our accounting platform; Workday Adaptive Insights for budgeting, forecasting, and reporting; and APIs that connect our systems.
Handle daily banking and investment inquiries, resolving any issues that arise.Manage the Accounts Payable (AP) process, collaborating with staff and vendors to address any concerns, reviewing and processing invoices, and facilitating the check run process and approvals.
Lead the preparation of annual IRS Form 1099.
Conduct monthly closing activities, addressing any questions related to banking or stock donation activities; act as a backup for semi-monthly payroll and benefits processing, as well as other financial transactions.
Perform ad hoc reconciliations as necessary; serve as a backup for other reconciliations and update account schedules on a monthly, quarterly, and annual basis.
Assist with staff billing between entities on a monthly, quarterly, and annual basis, including entering journal entries, generating invoices, and submitting payment requests.
Communicate effectively with internal and external stakeholders (affiliates, vendors, funders, fellow staff members, etc.) to independently resolve any issues related to AP/AR.
Support grant financial reporting to funders (foundations, organizations, government agencies, etc.), including creating schedules, tagging expenses in the accounting system, and other related tasks.
Update budgeted staff schedules in the payroll system as needed.Assist in preparing lobbying reports, political campaign expenditure reports, and IRS Form 990 Schedule C lobbying and political campaign expenditure information.
Engage in ad hoc accounting projects and support staff with finance-related inquiries as needed.Generate GIK and other special reports.
Continuously seek improvements in finance processes and procedures to enhance efficiency for the team and all stakeholders.
The Ideal Candidate Will Possess:
Prior accounting experience is essential; experience in a nonprofit setting is preferred.
Demonstrated expertise in nonprofit financial systems administration and accounting.
Proficiency in Microsoft Excel and Word is required for reporting and data analysis tasks.
Advanced Excel skills (e.g., pivot tables, VLOOKUPs) are preferred and will be utilized frequently.
High attention to detail, accuracy in work output, and the ability to manage multiple projects simultaneously.
Experience with SAGE Intacct is a strong advantage, though not mandatory.
Familiarity with Concur and Workday Adaptive Insights is a plus; experience with Salesforce is also beneficial but not required.
Experience in a multi-entity environment is advantageous but not essential.

Salary and Benefits:
This position is part of a collective bargaining unit represented by the Washington-Baltimore News Guild. Specific employment terms are governed by a Collective Bargaining Agreement (CBA).
The salary for this category 3 position is determined by a salary calculation system established by the CBA and is non-negotiable.
The starting salary is $78,000, with potential increases up to $88,000, based on various factors outlined in the CBA.
We offer a comprehensive benefits package, including health, dental, and vision insurance, 15 vacation days in the first year, 12 sick days annually, additional PTO including holidays, and contributions to individual 401K plans.
