Administrative Support Specialist for Academic Operations

Job Summary:

The Administrative Assistant will provide administrative and clerical support to the School of Pharmacy, serving as the first point of contact for current students and other internal and external parties.

Key Responsibilities:

  • Types memos, letters, and general correspondence
  • Enters and updates information into electronic programs and creates reports
  • Manages calendar and sets up appointments
  • Schedules, prepares, transcribes, and distributes minutes for various meetings
  • Responsible for creating and maintaining files and other records
  • Responds to phone calls from students and other parties
  • Sorts and distributes reimbursement checks, packages, and mail
  • Assists with reimbursement of travel expenses
  • Prepares and processes requisition for the office
  • Orders supplies and keeps track of all orders
  • Assist in proctoring; exam entry; grading as needed
  • Creates forms, emails, and memorandums as assigned
  • Mails, copies, and distributes requested documents as needed
  • Posts and types flyer announcements; stocks various handouts for student and staff usage
  • Meets and greets all visitors
  • Interacts with different departments; Interacts with upper level personnel
  • Liaisons between Deans, Directors, Advisors, Faculty, and Students

Qualifications:

  • Bachelor's Degree required
  • A high degree of interpersonal competency: professionalism, diplomacy, judgement, and discretion
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, & Outlook
