Position Overview

East Bay Cardiovascular and Thoracic Associates is seeking a full-time, experienced Healthcare Reception Specialist to join our dynamic team. This role is essential in ensuring a smooth and efficient operation within our medical practice.

We are in search of a dependable, detail-oriented, and personable individual who excels in multitasking. The ideal candidate will be diligent, highly organized, self-driven, and possess outstanding communication abilities.

  • Professional demeanor and appearance
  • Experience with EPIC software is advantageous

Role Responsibilities:

  • Master the responsibilities of a Receptionist I, including welcoming and scheduling patients and visitors, managing financial transactions, reminding patients of appointments, handling billing inquiries, directing phone calls, and maintaining organized documentation.
  • Assist in the check-in process for incoming patients, ensuring all necessary information is collected and verified.
  • Manage patient co-payments at the time of check-in.
  • Communicate patient arrivals to the clinical staff.
  • Handle messages received from the answering service efficiently.
  • Support clinical staff during non-office hours as required.
  • Answer multi-line phone systems, directing calls appropriately or addressing inquiries directly.
  • Provide patients with necessary forms and information regarding office policies and required documentation.
  • Coordinate appointment scheduling for both new and returning patients based on provider availability.
  • Maintain both physical and digital patient records accurately.
  • Offer guidance and support to patients as needed.
  • Adhere to all HIPAA regulations.
  • Compile and send medical records to the designated recipients.
  • Ensure all appointment notes are comprehensive, including visit reasons, insurance details, and referring physician information.
  • Send relevant messages to medical assistants through the EPIC system.
  • Keep the front desk and waiting area tidy and organized.
  • Verify and update patient information during appointment scheduling.
  • Escalate urgent matters to management as necessary.

Vaccination Requirement: Up-to-date vaccinations, including flu and COVID-19, are mandatory for this position.
