Objective:
The Facility Operations Support Specialist serves as the main point of contact for practice-related vendor communications and safety matters. This role encompasses inventory management, urgent deliveries, and ensuring the facility's overall cleanliness and organization.
Key Responsibilities:
- Procures and systematically organizes supplies in designated areas daily, ensuring timely delivery in collaboration with relevant personnel.
- Monitors supply levels and accurately documents requests for additional materials, providing essential information to the Supervisor for order processing. Maintains comprehensive logs and inventory records for linens, snacks, and medical supplies.
- Oversees the safety and compliance aspects of the facility, participating in regular safety committee meetings and ensuring adherence to local and state regulations. Assists in preparing for annual inspections and safety drills.
- Maintains off-site storage areas, ensuring they are organized and accessible.
- Acts as the primary liaison for vendor contracts, addressing maintenance and repair issues while fostering positive vendor relationships. This includes managing landscaping, housekeeping, engineering, and safety requirements.
- Completes additional routine projects and tasks as assigned by management, such as maintaining lobby and refreshment areas, organizing supply areas, moving furniture as necessary, and coordinating departmental events.
- High School Diploma or equivalent is required.
- Valid California Driver's License with a clean driving record and proof of insurance.
- Up to two years of relevant experience, preferably in a healthcare setting.
- Strong background in customer service, ideally within a healthcare context.
- Current CPR certification is mandatory.
- Familiarity with computer and telephony systems, preferably in a healthcare environment.
- Excellent verbal communication skills.
- Proficiency with standard office equipment and computer functions.
- Ability to manage and prioritize multiple tasks effectively.
- Capacity to resolve customer issues with professionalism and tact.
- Ability to work independently with minimal supervision.
- Strong organizational skills.
- This role primarily operates indoors within a medical/business environment. Employees may encounter exposure to bloodborne pathogens, radiation, biohazard materials, and other medical-related factors, with moderate noise levels.
- Visual acuity is required for reading and processing documents; ability to adjust focus, along with hearing acuity for communication with staff and clients; physical capability to walk, stoop, bend, kneel, and lift up to 25 pounds regularly; ability to sit for extended periods. Employees may experience moderate noise levels and interruptions, with occasional evening and weekend work as necessary.
