Overview
This role is pivotal in delivering tailored coordination, clarification, and communication of all administrative facets of patient care. Responsibilities include conducting patient needs assessments, verifying insurance and authorizations, managing registrations, maintaining documentation, and scheduling appointments.

This position collaborates closely with the clinical care team to ensure a seamless journey for patients and their families throughout their treatment continuum.

Additionally, this role aids in providing resources that empower patients to achieve optimal health outcomes.

Key Responsibilities
- Conduct the patient intake process, which may encompass pre-registration and registration.
- Collaborate with the clinical care team to ascertain initial authorizations required based on the anticipated treatment plan.
- Gather patient insurance benefit information pertinent to all treatment aspects, including inpatient and outpatient services, prescription medications, and, if necessary, travel and accommodation.
- Serve as a resource for insurance coverage, which may involve obtaining authorizations and notifications throughout the patient's treatment journey.
- Ensure all necessary signatures and documentation required by the patient's insurance plan are obtained.
- Accurately document all information into the patient records system to facilitate maximum reimbursement.
- Monitor and update insurance data, authorizations, preferred providers, and any changes in the patient's treatment plan.
- Work in partnership with the clinical care team and insurance providers to guarantee ongoing coverage of the patient's care, maximizing reimbursement while minimizing financial burdens on the patient.

- Provide administrative support by maintaining materials such as documents, proposals, routine correspondence, spreadsheets, and preparing reports, while managing records across various business software and database applications for electronic medical records and billing.

- Schedule physician appointments, tests, procedures, and surgeries, providing patients with necessary preparation instructions.

- Manage patient documentation within the department database and act as a liaison between patients, the billing department, and payors to enhance account receivables and resolve outstanding issues or patient concerns.

- Enhance the patient experience through effective customer service, maintaining continuous communication with patients, other departments, referral networks, and providers to ensure adherence to appropriate plans and protocols.

- Exercise discretion and remain attentive to customer confidentiality issues, demonstrating proactive resolution skills to address scheduling conflicts.

- May oversee the medical records for the assigned area, coordinating with hospitals, practice offices, and other ancillary services to obtain necessary records.

- Respond to patient referral requests for tests, procedures, and specialty visits, adhering to guidelines and assisting in developing procedures to ensure compliance with all state and federal laws regarding medical records.

- Reconcile charge tickets, identifying incomplete tickets, missing charge codes, or missing diagnosis codes, and notify clinical staff as needed.

- Perform all functions in accordance with established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards.

- Ensure that all customers of Foundation Health receive an exceptional service experience by consistently demonstrating core and leadership behaviors.

Qualifications
- High school diploma/GED or equivalent working knowledge.
- A minimum of three years of experience in a hospital or medical office setting is required.
- Knowledge of medical terminology is essential.
- Ability to work independently with minimal supervision and make sound decisions using good judgment.
- Excellent communication, interpersonal, attention to detail, and organizational skills are mandatory.
- Strong interpersonal relations and process coordination skills are required.
- Familiarity with payer contract terms and processes is necessary.
- Basic math skills and the ability to handle confidential information and sensitive issues are required.
- Proficiency in common office software and hospital software for patient intake and updates to medical history, along with other scheduling and billing software, is essential.
