Position Summary:

The Lead Medical Assistant in the Critical Care department plays a vital role in supporting the operational needs of the Pulmonary, Critical Care & Sleep program by delivering both administrative and clinical assistance.

Key Responsibilities:

  • Deliver patient care services, including monitoring vital signs, updating medication records, performing spirometry, phlebotomy, and administering injections.
  • Collaborate effectively with the Practice Administrator, Office Manager, and HR Manager to foster positive relationships among healthcare providers, office personnel, and patients.
  • Provide clinical guidance to office staff as required.
  • Oversee and mentor office staff in various duties to ensure comprehensive coverage across all roles in conjunction with the Office Manager.
  • Assist the Office Manager in addressing clinic scheduling challenges, improving patient wait times, and enhancing service quality.
  • Support patients with Short Term and Long-Term Disability claims.
  • Coordinate requests for medical records related to disability, subpoenas, and regulatory compliance, including attorney reviews prior to submission.
  • Facilitate scheduling of tests and treatments as necessary.
  • Maintain office and clinical supply inventory, administer pulmonary function tests (PFTs), and conduct other necessary assessments.
  • Update MIPS in the Electronic Health Record (EHR) system.
  • Become proficient as a super user in the EMR system to assist the Office Manager with troubleshooting and resolving system-related issues.
  • Prepare, sanitize, and maintain examination and treatment rooms.
  • Order supplies for clinical and office environments.
  • Process verbal or faxed prescriptions and obtain prior authorizations when required.
  • Retrieve and finalize electronic prescriptions.
  • Complete pre-certification testing and procedures as needed.
  • Calibrate spirometers and manage medical records.
  • Handle incoming calls and schedule patient appointments.
  • Take messages, pull charts, and route them to the appropriate physician.
  • Assist with other administrative and clinical tasks as assigned by the Office Manager.
  • Coordinate with patients to schedule necessary procedures and tests at appropriate facilities.
  • Ensure all required testing is ordered for the assigned physician by the end of the workday.
  • Be available to provide assistance to both physicians and staff.
  • Cover the responsibilities of absent team members as needed.
  • Implement improvements related to office workflow.
  • Sort and distribute faxes and mail as required.
  • Ensure patient charts are complete with orders and all relevant test results.
  • Perform additional duties as assigned.

Required Knowledge and Experience:

  • High School Diploma.
  • Medical Assistant certification.
  • Familiarity with medical terminology.

Experience:

  • 2-3 years of experience in the healthcare sector (hospital, physician practice, or insurance).
  • Strong organizational and task management skills.
  • Experience with Electronic Medical Records.
