Position Title: Project Management Specialist

Role Summary: The main function of the Project Management Specialist is to oversee project workflows, procure necessary resources, and ensure seamless communication among manufacturers, general contractors, clients, and United Elevator Services.

Key Responsibilities include:

Project Oversight:

  • Coordinate project processes, ensuring effective communication among manufacturers, general contractors, clients, and United Elevator Services.
  • Initiate production orders with manufacturers upon project approval, clearly conveying client specifications and delivery timelines.
  • Collaborate closely with Superintendents and Field Supervisors to ensure project accuracy.
  • Manage invoicing for completed construction projects.
  • Compile and organize project closeout documentation.

Resource Management:

  • Obtain necessary permits.
  • Process change orders.
  • Request submittals and updated drawings.
  • Generate purchase orders for new installations, return merchandise authorizations, and warranty components.

Communication Facilitation:

  • Ensure effective communication among manufacturers, general contractors, clients, and United Elevator Services.
  • Provide timely and accurate updates to all stakeholders involved in the projects.

Documentation and Reporting:

  • Maintain comprehensive records of project specifications and progress.
  • Ensure all documentation related to job orders, change orders, and project closeouts is precise and current.

Supervisory Role:

This position does not include supervisory responsibilities.

Qualifications:

To successfully perform this role, an individual must meet the following qualifications:

  • Education/Experience: High school diploma or equivalent; a minimum of two (2) years of relevant experience in planning and scheduling is required. A four (4) year degree in business, scheduling, or construction is preferred.
  • Language Skills: Ability to communicate effectively in both oral and written forms with employees, clients, vendors, and management. Strong interpersonal communication skills are essential.
  • Technical Skills: Proficient in PC platforms and familiar with office software, including email, word processing, and spreadsheets.
  • Personal Attributes: Strong time management skills, ability to prioritize tasks, and a collaborative working style.

Physical Requirements:

The physical demands of this role require regular communication, sitting, standing, walking, and using hands and fingers. The role may involve repetitive movements and requires good hand-eye coordination for computer and phone use.

Work Environment:

This position is primarily office-based, with exposure to moderate noise levels.
