Key Responsibilities

  • Welcome and assist visitors by providing guidance and checking them in and out.
  • Handle incoming phone calls, directing them to the appropriate personnel while offering basic information as necessary.
  • Conduct reminder communications with clients for upcoming appointments.
  • Manage daily mail and deliveries efficiently.
  • Maintain security protocols by monitoring access and managing visitor badges.
  • Coordinate appointment calendars and organize meetings.
  • Perform various clerical tasks including filing, photocopying, and data entry.
  • Update and manage data within the Salesforce system.
  • Ensure the waiting area is organized and welcoming.
  • Oversee the daily staffing schedule in collaboration with the clinical team to ensure appropriate patient care.
  • Assist in the recruitment and onboarding process for new staff members.
  • Ensure timely submission of session notes and billing documentation.
  • Inspire and lead employees to achieve job objectives while maintaining high standards of performance.
  • Develop and implement staffing standards for center programs.
  • Participate in special projects and contribute to the development of operational standards.
  • Adhere to all policies and procedures outlined in the company manual.
  • Protect patient rights and privacy in accordance with regulations.
  • Foster a positive environment that promotes staff satisfaction and productivity.
  • Attend relevant training and educational programs.
  • Ensure new hires complete their training and certification processes in a timely manner.
  • Provide coaching and support to staff as needed.
  • Maintain up-to-date knowledge of ABA principles and practices.
  • Build and maintain collaborative relationships with all team members.

Required Qualifications

  • High school diploma or equivalent.
  • RBT credential is mandatory.
  • Experience in training others in behavior analytic skills.
  • Familiarity with ABA methodologies beneficial for children with ASD.
  • Knowledge of training techniques and development.
  • Ability to maintain confidentiality and adhere to HIPAA standards.
  • Proficient in relevant computer systems and software.

Preferred Qualifications

  • Experience in staff scheduling and management.
  • Background in healthcare or related fields.
  • Positive experience with pediatric populations.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational and multitasking abilities.
