Job Overview

We are seeking a detail-oriented and proactive Preconstruction Admin to support our preconstruction team. This role is critical in ensuring the smooth, organized, and timely processing of preconstruction activities, specifically for demolition and asbestos abatement projects.

Key Responsibilities
  • Bid Preparation and Support:
    • Assist in the collection and organization of all required bid documents, ensuring accuracy and compliance with project specifications.
    • Prepare, edit, and format bid proposals, scope documents, and other preconstruction materials.
    • Coordinate and track bid deadlines and pre-bid meetings, and ensure required bid documents are submitted on time.
    • Manage and maintain bid documentation, including bid lists, bid results, and post-bid feedback.
  • Project Coordination:
    • Communicate with clients, subcontractors, and suppliers to ensure accurate and complete project documentation, including RFIs, addenda, and clarifications.
    • Schedule and track preconstruction meetings and other project-related milestones.
    • Maintain organized project files and track progress of preconstruction deliverables.
    • Assist in generating preliminary project schedules and work with the estimating team to develop timelines.
  • Administrative Support:
    • Perform data entry, document control, and general office tasks related to preconstruction activities.
    • Assist with permitting and regulatory compliance documentation, ensuring all preconstruction permits are applied for and received on time.
    • Update and maintain preconstruction databases, including project files, contacts, and document libraries.
  • Estimating Support:
    • Provide administrative support to the estimating team by gathering necessary documentation, tracking project information, and maintaining accurate records.
    • Assist in setting up estimating templates and organizing cost information for ease of access by estimators.
  • Client and Vendor Relations:
    • Act as a liaison between clients, subcontractors, and suppliers, maintaining strong working relationships to facilitate preconstruction tasks.
    • Track client and vendor communications to ensure timely responses and follow-up on outstanding items.
