Job Overview

OBJECTIVE:

Facilitate and manage the flow of incoming and outgoing freight and cargo shipments across various transportation channels, including airlines, trucking services, and shipping docks. Engage with clients to receive orders and coordinate the collection of freight for delivery to the designated loading area. Prepare and review shipping documents to ascertain applicable charges and tariffs, ensuring compliance with U.S. export regulations and client expectations.

KEY RESPONSIBILITIES:

1. Input shipment information into the computer system to produce necessary documentation and labels, calculate rates and charges, arrange for export clearance through U.S. Customs, and monitor shipments with carriers from origin to destination. Daily

2. Organize the collection of shipments from clients or vendors to the Kintetsu World Express (U.S.A.), Inc. location. Coordinate the transfer of shipments from KWE to the respective carrier. Daily

3. Schedule flights with airlines for client shipments, providing relevant flight details and shipment information to clients. Daily

4. Generate shipping documents, assemble, and distribute them as required for export purposes. Print and affix cargo labels to shipments. Daily

5. Finalize Master Air Waybill (MAWB) and verify the accuracy of MAWB and House Air Waybill (HAWB) entries, making corrections as necessary.

6. Issue and finalize pouch MAWBs for shipments being sent to airlines. As needed

7. Assist in the visual inspection of freight to ensure it is correctly labeled for shipment. As needed

8. Create invoices for client shipments, third-party transactions, and freehouse billings. Daily

9. Provide assistance and information to clients and international offices regarding shipment status, transit issues, or irregularities. Daily

10. Maintain and update customer templates, pre-alert distribution lists, and new customer identifiers. As needed

11. Generate reports to track milestones as required for the Quality Management System (QMS). Weekly

12. Develop and update non-conformance reports to ensure adherence to QMS standards. As needed

13. Support the creation and revision of operational and customer Standard Operating Procedures (SOP). As needed

14. Assist the Supervisor or Manager with Request For Quote (RFQ) rate or service data preparation as required. Yearly. (As needed)

MINIMUM QUALIFICATIONS & REQUIREMENTS:

Required educational qualifications (degrees, certificates, licenses, etc.): N/A

Required skills (computer, machinery, typing, etc.): Proficient typing skills (30 – 40wpm), computer literacy, and basic arithmetic skills (addition, subtraction, multiplication, division).

Required special attributes: Capability to lift objects unassisted weighing up to 50 lbs, strong attention to detail, and ability to multitask.

Required experience: At least 2 years of experience in Air Export.

PREFERRED QUALIFICATIONS:

Preferred educational qualifications (degrees, certificates, licenses, etc.): Dangerous Goods (DG) Certification, knowledge/training in Transportation Security Administration (TSA) and International Air Transport Association (IATA).

Preferred skills (computer, machinery, typing, etc.): N/A

Preferred special attributes (ability to move/pick-up certain weight capacity, personality traits, certain aptitudes, etc.): N/A

Preferred experience (of what type, for what duration, in what industry, etc.): Minimum 2 years of experience in Air Export.
