Job Description

Position Title: Law Office Coordinator

Location: Pittsburgh, PA

Compensation: Salary commensurate with experience

This newly established role is essential for the effective management of our esteemed business immigration law firm. The coordinator will oversee daily administrative functions and ensure that clients receive timely and professional service.

Key Responsibilities:
  • Collaborate with the Managing Partner to manage office operations, including:
  • Financial management, including legal billing via QuickBooks Online, accounts payable/receivable, budgeting, and collections.
  • IT support, serving as a resource for Microsoft Suite, Cerenade, NetDocuments, and other software.
  • Human Resources duties, including staff oversight, training, workflow management, and employee relations.
  • Marketing and business development assistance, including support at events.
  • General office management, including supply ordering, mail handling, and event catering.
  • Engage with third-party service providers such as accountants and IT consultants.
  • Address inquiries from prospective clients regarding services and fees.
  • Draft various types of written communications and documentation.
  • Manage the firm’s calendar, including tracking deadlines and scheduling meetings.
  • Foster a professional work environment through effective communication.
  • Uphold legal and ethical standards to maintain client confidentiality.
  • Communicate with corporate clients and governmental agencies.
Additional Responsibilities:
  • Work collaboratively with team members and assist clients as needed.
  • Show interest in learning about law firm management and business immigration practices.
  • Exhibit excellent verbal and written communication skills.
  • Interact professionally with a diverse client base.

Qualifications:
  • At least 5 years of administrative experience in a supervisory role.
  • Experience in a law firm or professional services environment is preferred.
  • Proficiency in QuickBooks and Microsoft Office Suite is required.
  • A degree in a related field is preferred; legal training or paralegal education is a plus.
  • Cultural awareness and foreign language skills are advantageous.
