We are seeking a highly skilled and experienced Patient Call Center Specialist to join our team at Urology of Virginia. This role is critical to creating a positive first impression for our practice and demonstrating a commitment to patient care.
Key Responsibilities- Triage and Respond to Patient Calls: Accurately evaluate patient needs and determine the most appropriate course of action, ensuring timely and effective resolution of issues.
- Register Patients and Verify Demographic Information: Gather and verify patient demographic data with high accuracy and proficiency, ensuring seamless registration and appointment scheduling.
- Manage Incoming Faxes and Requests: Distribute faxes to the appropriate recipients and manage incoming requests from referring providers, ensuring timely and efficient communication.
- Provide Comprehensive Customer Service: Answer and screen incoming calls, route them appropriately, and prioritize calls using a courteous and professional attitude to ensure high satisfaction from all callers.
- Resolve Complaints and Inquiries: Obtain and evaluate relevant data, resolve caller concerns in a timely fashion, and maintain a positive experience for patients, providers, and colleagues.
- Coordinate Appointments and Changes: Manage waitlists, coordinate changes, postponements, and cancellations with other schedulers, and ensure timely and efficient appointment management.
- Verify and Confirm Appointments: Verify and confirm appointments for patients, ensuring accurate and up-to-date information.
- Indicate Interpreter Services: Identify the need for interpreter services and ensure timely and effective communication with patients who require language assistance.
- Stay Abreast of Practice Requirements: Maintain knowledge of practice participation with medical healthcare insurances and their requirements, ensuring compliance and effective communication.
- Project a Professional Image: Demonstrate professionalism in verbal and non-verbal communication, ensuring a positive experience for patients, providers, visitors, and colleagues.
- Assist with Staff Education and Training: Identify needs for training and staff education, offer guidance and assistance to less experienced team members, and contribute to a culture of continuous learning and improvement.
- Previous Experience in a Medical Setting: A minimum of [X] years of experience in a medical setting, preferably in a patient access or call center role.
- Strong Communication Skills: Excellent oral and written communication skills, with the ability to interact effectively with physicians, patients, fellow employees, and third-party insurance company representatives.
- Athena Experience Preferred: Experience with Athena or similar electronic health record systems is highly preferred.
