The Patient Access Supervisor plays a crucial role in overseeing and coordinating the activities of team members within the Patient Access Management Office and related areas within the Revenue Cycle. This position encompasses all access points, including hospital registration, financial counseling, registration specialists, precertification, referral specialists, and scheduling. Additionally, this role provides indirect oversight to front-end operations such as reception and patient service representatives, in collaboration with clinic and hospital leadership.

Key Responsibilities:

  • Possess comprehensive knowledge of all applications utilized in Patient Access and Revenue Cycle operations (e.g., EPIC, RTE, Scheduling).
  • Ensure staffing requirements are met while adhering to budgetary constraints and implement alternative staffing strategies as necessary.
  • Accurately review and process time cards, maintaining precise employee attendance records.
  • Conduct interviews and hire candidates to maintain optimal staffing levels.
  • Facilitate orientation and training for new hires, ensuring completion of necessary competency checklists.
  • Supervise team members, ensuring equitable distribution of workload and conducting team meetings to communicate changes and address program-related issues.
  • Perform regular audits to assess partner performance, ensuring compliance with established policies and procedures.
  • Monitor and maintain productivity reports and dashboards for the department, tracking work volume and setting performance goals.
  • Oversee the accuracy of demographic and insurance data entry, ensuring adherence to financial and access protocols.
  • Develop, recommend, and implement departmental policies and procedures, keeping resources updated and informing team members of changes.
  • Enforce established policies, including work rules and safety standards, while monitoring scheduling functions for accuracy.
  • Coordinate functions within the team and collaborate with other supervisors to ensure efficient processing of claims and timely patient follow-up.
  • Maintain a thorough understanding of payer requirements and workflows to maximize reimbursement opportunities.
  • Review and analyze new regulations and contracts to inform leadership of potential impacts on billing and compliance.
  • Ensure adherence to financial policies regarding cash handling and payment posting.
  • Monitor precertification and referral authorization workflows to optimize reimbursement.
  • Collaborate with Patient Financial Services and other departments on patient registration and reimbursement issues.
  • Serve as a knowledge resource for staff, staying updated on insurance and billing requirements.
  • Provide necessary information to ancillary providers regarding insurance determinations.
  • Assist with application implementations and upgrades, ensuring usability testing is conducted.
  • Educate clinic leadership and staff on financial policy adherence.
  • Review registration-related denials and provide necessary education to minimize write-offs.
  • Perform additional duties as assigned.

Qualifications:

A high school diploma or equivalent is required, along with an associate's degree in a business or healthcare field or equivalent experience. A minimum of four years in patient access or revenue cycle roles is necessary, with a focus on access services, registration, and customer service. Two years of supervisory experience is also required.

Certification:
Certification related to healthcare revenue cycle (e.g., EPIC, AAHAM, NAHAM) must be obtained within one year of hire.

Physical Demands:
This position requires regular use of hands for various tasks, frequent sitting, and occasional standing or walking. The ability to lift and move up to 25 pounds may be necessary.
