Job Overview

  • Evaluates and organizes office workflows and procedures, including financial management, payroll processing, human resources, data management, filing systems, supply requisition, and other clerical tasks.
  • Enhances office efficiency through effective utilization of relevant software tools.
  • Investigates and implements resources that promote timely and efficient operations.
  • Establishes standardized communication protocols and stylistic guidelines.
  • Develops procedures for the systematic retention, safeguarding, retrieval, transfer, and disposal of documentation.
  • Designs office layout, formulates budget plans, and initiates cost-saving strategies.
  • Reviews administrative and personnel records to ensure they are complete, accurate, and timely.
  • Generates activity reports to assist management in decision-making.
  • Coordinates the activities of various clerical teams or personnel within the department.
  • Maintains relationships with clients and external suppliers.

Qualifications:

Education and Experience:

Preferred experience includes 3 to 5 years in a high-volume medical environment; comprehensive management experience in a similar or larger practice is desirable.

In-depth knowledge of Medicare Advantage programs is required.

Must possess a thorough understanding of medical practice operations; proficient in communication, technology, leadership, personnel management, team development, and multitasking.

Certifications and Licenses:

An Associate's degree (A.A.) or equivalent from a two-year college or technical institution; or six months to one year of relevant experience and/or training; or a combination of education and experience.

Supervisory Duties:

Oversees staff in the medical office setting. Responsible for the overall direction, coordination, and evaluation of these teams. Executes supervisory duties in accordance with organizational policies and relevant laws. Responsibilities encompass interviewing, hiring, and training staff; planning, assigning, and directing tasks; evaluating performance; rewarding and disciplining staff; addressing concerns and resolving issues.
