Position Overview

The Practical Nursing Specialist (PNS) plays a crucial role in supporting Physicians and/or Advanced Practice Providers within the clinic environment. Responsibilities encompass: welcoming patients, gathering medical histories, ensuring comprehensive documentation in the Electronic Medical Record (EMR), administering injections, managing patient communications, and assisting with clinical procedures, including the application and removal of casts and the fitting and education of Durable Medical Equipment (DME). The PNS also aids in the upkeep of medical equipment, supplies, and examination rooms.

Key Responsibilities

Welcomes patients, completes the check-in process, and addresses general inquiries. Manages telephone communications and schedules both initial and follow-up appointments. Processes referrals efficiently.

Prepares documentation for new patients and retrieves records for upcoming visits. Ensures all necessary patient forms are completed, current, and entered into the system. Responsible for locating medical records as required, along with filing and purging tasks. Reviews charts for progress notes and urgent orders, prepares billing tickets, and acts on any urgent requests. Manages billing tickets and patient-specific documentation. Processes requests for medical records. Monitors and documents instances of patient no-shows. Maintains the patient waiting area, ensuring cleanliness and organization. Collects co-payments and balances the cash drawer. Gathers information for external testing as needed. Secures authorizations from insurance providers for testing and injections.

Provides backup support and assists in daily office operations as necessary in other areas. Oversees and maintains front office equipment; orders office supplies, orthopedic/medical equipment, and other necessary materials. Cleans, sterilizes, and stocks examination rooms and equipment. Ensures cleanliness across all clinical areas and exam rooms; restocks and orders supplies within budgetary limits; inspects and cleans equipment, makes minor adjustments, and reports maintenance needs to management.

Assists physicians and/or physician assistants with specialized procedures, gathers required instruments, positions patients, and responds to instructions from the physician or physician assistant. Prepares X-ray orders according to physician protocols and directs or transports patients to Radiology.

Prepares laboratory requisitions and arranges for the transport of specimens to the laboratory as necessary. Responsible for the removal of sutures, staples, dressings, and wraps; application and removal of casts and splints. Provides education on DME and prepares injections. Submits prescription requests and documents them in the patient record as per physician directives. Collects necessary data and instructional materials for discharged patients, ensuring they are informed of any required follow-up appointments. Ensures timely transport of patients' X-ray films to the follow-up location.

Educates patients on the physician's care plan (including handouts and return demonstrations). Ensures billing tickets are accurately marked for injections and/or equipment and supplies provided to patients. Participates in in-services and departmental meetings.

Experience: A minimum of three (3) to five (5) years of experience in the field is preferred; prior front desk experience in a medical office is advantageous.

Certifications/Licenses/Registrations: Must possess a current and valid license to practice Practical Nursing in the State of Ohio. Authorized to administer medications by The State of Ohio Board of Nursing. BLS certification is required within three (3) months of hire.
