Job DescriptionSummary

The Executive Assistant and Office Coordinator will provide administrative support to the CEO and Board of Directors, ensuring seamless execution of daily operations, strategic planning, and community outreach initiatives.

Duties and Responsibilities
  • Manage the CEO's schedule, calendar, and correspondence, including coordinating meetings, travel arrangements, and other requests.
  • Prepare and distribute meeting materials, agendas, and reports to the Board of Directors and committees.
  • Maintain accurate and up-to-date records, files, and databases, ensuring compliance with corporate regulations and policies.
  • Coordinate logistics for events, conferences, and meetings, including venue selection, catering, and audiovisual equipment.
  • Develop and implement strategies to improve office efficiency, productivity, and customer service standards.
  • Provide exceptional customer service to internal and external stakeholders, responding promptly to inquiries and resolving issues in a professional and courteous manner.
Requirements
  • A minimum 3-5 years of experience in an administrative support role, personal assistant, or equivalent position.
  • Excellent communication, organizational, and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Ability to maintain discretion and confidentiality, handling sensitive information with professionalism and integrity.
Benefits and Compensation

$41,000-$46,000 annually. Benefits provided include ICS Retirement Plan, generous Paid Time Off, paid holidays, and company paid life insurance.
