Clinical Operations Supervisor

Key Responsibilities
Site Management

  • Collaborates with the Director of Health Services & Operations, Vice President of Health Services, and the Director of Finance to participate in the formulation and adherence to program budgets and the annual agency budget.
  • Assists in the establishment and attainment of affiliate and department-wide objectives and productivity benchmarks in conjunction with senior leadership.
  • Oversees patient care with a focus on professionalism and customer service, addressing patient concerns as necessary.
  • Maintains a professional healthcare environment, ensuring effective communication with operations and facilities teams.
  • Ensures adequate staffing levels to meet health center and agency requirements in collaboration with fellow managers.
  • Monitors clerical staff adherence to billing and finance procedures, ensuring excellent service to both external and internal customers.
  • Actively manages patient flow and communication between front desk and health center personnel to enhance patient experience and staff efficiency.
  • Maintains accurate inventory for medical, lab, and pharmacy supplies to meet patient needs.
  • Works with the Grants & Programs team to implement strategies aimed at increasing patient access and extending services to underserved populations.
  • Advocates for and coordinates services for patients, ensuring confidentiality is upheld.
  • Maintains high operational standards by being present and observant during clinic hours, identifying issues, proposing solutions, and resolving problems.
Quality Assurance & Risk Management
  • Ensures accurate inventory counts of medications and medical devices, along with compliance in Electronic Health Record documentation for billing.
  • Participates in pharmacy reviews and implements quality improvement initiatives as needed.
  • Develops plans with staff to ensure timely completion and documentation of Quality Assurance tasks.
  • Conducts observations of clinical staff to ensure compliance with PPCWNY standards.
  • Reviews medical charts for accuracy and completeness.
  • Maintains knowledge of and ensures compliance with all relevant laws, regulations, and organizational standards.
  • Consults with the Compliance, Quality & Risk Management Department as necessary.
Team Leadership
  • Provides guidance and leadership to staff, addressing concerns and performance issues promptly.
  • Documents all communications regarding staff performance accurately and in a timely manner.
  • Plans and oversees orientation for new staff, including ongoing training and evaluations.
  • Ensures accurate submission of staff work time to payroll by established deadlines.
  • Evaluates staff performance and provides constructive feedback through regular coaching meetings and annual reviews.
  • Fosters a strong and effective team dynamic.
Reporting
  • Provides data to senior leadership as requested in a timely manner.
  • Utilizes reports and data for decision-making regarding inventory, patient scheduling, and staffing.
Additional Responsibilities

  • Takes responsibility for professional development and maintains documentation of continuing education.
  • Collaborates with various departments to meet internal and external requirements.
  • Participates in relevant committee and management meetings as required.

Qualifications

Education:
  • Bachelor's degree in health care administration, business, public administration, management, or a related field preferred.
Experience:
  • 3 to 5 years of management or supervisory experience, or a minimum of 6 months supervisory experience with the agency, along with successful completion of an approved career development plan.
Knowledge, Skills, & Abilities:
  • Proven ability to enhance patient flow and operational efficiency.
  • Strong written and verbal communication skills.
  • Exceptional organizational skills, capable of managing multiple priorities independently.
  • Proficient in Microsoft Office Suite and familiar with electronic health record and practice management software.
  • Ability to maintain confidentiality and ensure compliance with regulations.
  • Experience in fostering an inclusive and respectful workplace culture.
  • Fluency in multiple languages spoken in the community is preferred.

Work Schedule: This is a full-time position, typically requiring 40 hours per week, with a regular schedule of Monday to Friday and occasional evenings and weekends.
Benefits & Compensation: PPCWNY is committed to equitable compensation practices. The salary for this position ranges from $62,316.80 to $72,155.20 annually, based on experience and other lawful factors. In addition to competitive pay, PPCWNY offers a comprehensive benefits package, including generous Paid Time Off, paid holidays, affordable medical, dental, and vision options, Health Savings Account or Flexible Spending Account, 401(k) with matching contributions, and more.
