Job Summary

We are seeking a highly organized and detail-oriented Project Administrator to join our team at Synerfac. As a key member of our administrative team, you will play a critical role in supporting our Sales Representatives and ensuring the smooth execution of projects from quote to invoicing.

Key Responsibilities
  • Transfer data into our company system and maintain accurate records.
  • Research and schedule landlord criteria and jurisdictional sign code to establish mandated design/construction parameters.
  • Produce design requests based on client design criteria, site surveys, and landlord criteria.
  • Negotiate and obtain pricing from subcontractors and vendors.
  • Generate estimating/bid requests and project proposals, including costs for design, fabrication, and installation.
  • Secure sign permits and deposits from clients or contracts with permit facilitators.
  • Execute work/installation orders outlining project production and installation details.
  • Monitor quality control during fabrication and inspect signs produced in-house and by subcontractors.
  • Manage change orders and document them for invoicing.
  • Verify production drawings prior to production submission.
  • Provide accounts receivable with necessary information for invoicing.
  • Verify client satisfaction and assist with collecting accounts receivable when required.
  • Manage multiple projects simultaneously with accuracy and detailed cataloging.
  • Request COIs, OCIPs, and insurance verification.
  • Complete contract forms and respond to requirements, such as W-9 and E-verify.
  • Compile bid packages timely and activate Call Before You Dig.
  • Complete variance submittals for permitting and provide weekly backup for the front desk Receptionist.
Requirements

We are looking for a candidate with a background in construction and expertise in Microsoft Office. The ideal candidate will be a fast and accurate typist, able to multitask, and work on a variety of projects with changing priorities.

Education and/or Experience: Bachelor's degree from a four-year college or university, or two years of related experience and/or training, or an equivalent combination of education and experience.
